Smith & Sons Insurance Agency is seeking an organized, dependable, and detail-oriented Agency Administrative Specialist to support daily agency operations.
This role includes administrative organization, calendar and inbox management, customer service support, operational coordination, and temporary bookkeeping assistance while a team member is on leave.
The ideal candidate is professional, organized, proactive, and enjoys helping keep a team and office running efficiently.
- Maintain organization across agency systems, files, and processes
- Assist with scheduling, calendars, reminders, and communication follow-up
- Support recurring operational tasks and office coordination
- Help leadership and staff stay organized and on track
- Provide excellent service to clients and potential clients
- Maintain accurate records of customer communications and activity
- Assist Producers with pre-sale and post-sale support activities
- Assist with bookkeeping and financial administrative tasks
- Support invoice handling, expense tracking, reconciliations, and recordkeeping
- Communicate professionally with clients, vendors, and team members
- Support a positive, respectful, and team-oriented culture
- Strong organizational and communication skills
- High attention to detail and follow-through
- Ability to manage multiple priorities
- Professional, dependable, and trustworthy
- Comfortable learning new systems and processes
- Administrative, bookkeeping, or office experience preferred
- Microsoft Office experience
- Basic bookkeeping or accounting familiarity
- Calendar and email management experience
- Insurance or professional office experience is a plus
