Role Description The Office Operations Coordinator is a full-time, on-site role based in Fort Myers, FL. This position supports day-to-day office operations, including answering phones, responding to customer inquiries, scheduling appointments, and coordinating with field teams and vendors. The coordinator helps maintain organized records, manages data entry for jobs and service orders, and prepares basic reports and documentation. Daily tasks include supporting billing and invoicing processes, tracking project status, and ensuring timely communication across internal departments. The role also involves assisting with general administrative duties such as filing, ordering office supplies, and helping improve office workflows and procedures.
Qualifications
- Strong Administrative Assistance skills, including data entry, document management, scheduling, and proficiency with office software (e.g., MS Office or similar tools).
- Effective Communication skills, with the ability to interact professionally with customers, vendors, and team members by phone, email, and in person.
- Customer Service skills to handle inquiries, resolve issues, and support a positive experience for commercial, industrial, and residential clients.
- Operations Management and organizational skills to coordinate office workflows, support project tracking, and assist with job scheduling and follow-up.
- Analytical Skills to review information, identify discrepancies, support basic reporting, and contribute to process improvements.
- High attention to detail, reliability, and the ability to prioritize multiple tasks in a fast-paced environment.
- Prior experience in a construction, contracting, or field services environment is beneficial but not required.
