DUTIES AND RESPONSIBILITIES:
oPerforms secretarial duties for the principal (and superintendent, as needed)
o Answers phones and greet visitors; take and relay messages; maintain parent correspondence lists; provide information to
students, parents, and faculty
oFiles and photocopies material.
oHandles/screens incoming phone calls and leaves message for return calls.
oMiscellaneous secretarial duties as requested.
oMaintain regular attendance; write passes, tardy and dismissal notes.
oGeneral aid to students; manage class elections and prepare Armed Forces recruitment lists as requests come in.
oHandles referrals to the office, then turning students over to the principal.
oPrepare PDP certificates for teachers and administrators.
oAssists Administrative Assistant as needed.
oType purchase orders.
oAssist with Graduation preparations.
oReceive parents, salespeople, and deliveries.
oMaintain confidentiality at all times.
oProficiency in the usage of database software, internet software, email and word processing software. Ability to proficiently use
the following programs strongly preferred: Microsoft Word, Google Docs, Excel, School Insight, Infinite Visions and ESPED
oPrepare daily announcements.
oOrders school (also, office/administration) supplies from Hampshire County Bid.
oUpdates Smith Academy Calendar online
oUpdates Hatfield School District Calendar online.
oMaintain/Update parent email groups on Gmail; update Excel spreadsheet and confidential parent email address list on
Googledocs.
oPrepare Armed Forces Recruitment lists from Army, Navy, and Air Force as requests come in.
oPrepare programs for home Basketball games, boys and girls.
oReceive Smith Academy Building Use Forms and processes them.
oPrepare PDP (Professional Development Points) certificates for teachers and administrators.
oFor Class Day, prepare program, award certificates, and principal’s guide (script) for Guidance.
oFor Underclass Awards Assembly, prepare program, award certificates, and principal’s guide for Guidance.
oCompletes other tasks that may be assigned by the principal and/or superintendent.
