Position Summary: The Front Desk & Medical Aesthetician is a dual-role position responsible for delivering exceptional clinical aesthetic services while also supporting front desk and administrative operations. This role is ideal for a self-starter who thrives in a fast-paced med spa environment, enjoys working directly with clients, and takes pride in both patient care and operational excellence.
This position plays a critical role in ensuring a seamless client experience from check-in to treatment and follow-up, while maintaining the highest standards of safety, service, and professionalism.
Key Responsibilities:
Clinical & Aesthetic Services
- Perform medical aesthetic treatments in accordance with training, protocols, and state regulations
- Conduct thorough client consultations and develop appropriate, individualized treatment plans
- Ensure client safety and satisfaction at all times without compromising quality of care
- Maintain accurate charting and clinical documentation for each client
- Capture before-and-after photos when appropriate
- Recommend additional treatments and skincare regimens based on client needs
- Maintain current education and competency on medical devices (e.g., microneedling pen, centrifuge, Alpha Laser, Aquafirme XS, and other approved devices)
- Maintain professional appearance at all times (Smiley Aesthetics apparel or black or blue scrubs)
Front Desk & Administrative Duties
- Greet clients and manage check-in and check-out processes
- Schedule, confirm, and manage appointments according to spa protocols
- Answer phones promptly and professionally; educate clients on services and products
- Provide treatment quotes and reconcile patient balances
- Assist clients with documentation and sign-in procedures
- Obtain and manage client records as needed
- Assist with product sales and fulfill product orders in a timely manner
Operations, Inventory & Facility Management
- Maintain daily inventory with weekly reconciliations
- Monitor and maintain appropriate supply levels
- Control expenses through proper use of supplies and waste management
- Maintain an accurate calendar and hours of operation
- Collaborate with the clinic manager to ensure coverage of business hours and walk-in availability (minimum 8:30 AM – 4:30 PM)
- Keep the spa in an above-average state of cleanliness at all times
Marketing & Team Collaboration
- Actively participate in marketing and client recruitment efforts, including spa and personal social media
- Assist with content creation and promotional initiatives
- Attend staff meetings and contribute as a team player
- Support additional med spa operations as needed
Qualifications:
- Current state aesthetician license
- Minimum of one year experience in a medical aesthetics, med spa, or cosmetic surgery setting preferred
- Knowledge of med spa services, skincare, and medical terminology
- Strong customer service, communication, and interpersonal skills
- Excellent organizational and time-management abilities
- Ability to multitask and prioritize in a fast-paced environment
- Proficiency in office software and social media platforms
- Self-starter with a positive attitude and strong teamwork skills
