Key Responsibilities
- **Lead daily office operations** — Oversee front desk, scheduling, team performance, inventory, compliance (including HIPAA and California dental regulations), and overall workflow to maximize efficiency.
- **Drive production and collections** — Set and aggressively pursue monthly/quarterly production and collection goals; monitor key metrics (e.g., case acceptance rates, accounts receivable, daily production); implement strategies to reduce no-shows, fill schedules, and collect patient portions promptly.
- **Treatment coordination & case presentation** — Present treatment plans to patients (or co-present with doctors); educate patients on recommended procedures, benefits, and value; address objections; explain insurance coverage, financial options (including third-party financing); secure financial commitments; and coordinate multi-step treatment scheduling.
- **Patient experience & relationships** — Serve as the primary point of contact for complex patient concerns; ensure every patient leaves informed, confident, and scheduled for next steps; follow up on unscheduled treatment to boost case acceptance.
- **Team leadership & development** — Hire, train, mentor, and motivate administrative and clinical staff; conduct team huddles/meetings; perform performance reviews; foster a positive, high-performance office culture focused on goals and accountability.
- **Financial & administrative oversight** — Manage billing, insurance claims, accounts receivable/payable, payment plans, and end-of-day reconciliations; ensure accurate documentation and use of practice management software
- **Other duties** — Collaborate closely with doctors on treatment planning; maintain office compliance; manage marketing/recare efforts; resolve issues proactively to support practice growth.
Qualifications & Requirements
- **Minimum 3-5 years of experience** in dental office management, treatment coordination, or a closely related role in a general or specialty dental practice (required — prior experience in both leadership and treatment presentation strongly preferred).
- Proven track record of successfully hitting/exceeding production and collection goals in a dental setting.
- Strong knowledge of dental procedures, terminology, insurance verification/benefits, and financial arrangement options.
- Excellent communication, sales/motivational, and objection-handling skills — you must be comfortable presenting treatment plans and closing cases.
- Proficiency with dental practice management software (Dentrix, Eaglesoft, etc.) and Microsoft Office.
- Goal-oriented mindset with strong analytical skills to track metrics and implement improvements.
- Leadership experience — ability to motivate teams, handle conflict, and drive accountability.
- High school diploma required; dental-related certification (e.g., RDA, treatment coordinator training) or additional education a plus.
- Must be eligible to work in the United States and comply with California dental practice regulations.
