Smartly Organized is growing, and we’re looking for a highly organized, detail-oriented, proactive Operations Manager to support our team and our clients.
This is a strategic, high-impact role and a direct report to the owner. It’s perfect for someone who thinks operationally, loves variety, and thrives in fast-paced environments. You’ll be a key player who keeps our logistics, communication, systems, and team support running smoothly, so we can continue providing the exceptional experience our clients know and love.
YOUR MISSION = CREATE EASE
Your goal will be to ensure seamless daily operations by overseeing project logistics, supporting our on-site teams, managing communication flow, and maintaining the systems that keep Smartly Organized running at a high level. Your work directly contributes to an organized backend, a supported team, and a consistently exceptional client experience.
Team Support: Ensure clear communication and strong team culture by supporting daily team needs, celebrations, updates, and meeting documentation.
Project Administration: Oversee the setup, organization, and accuracy of all project details, communication, tracking, follow-up, and administrative workflows.
Client Management: Provide warm, timely communication and maintain ongoing client relationships through feedback, follow-up, and review management.
Operations & Logistics: Coordinate vendors, scheduling, inventory, SOP updates, and on-site logistical needs to keep all operational systems running smoothly.
Administrative Support: Manage calendars, documents, templates, meetings, and partner touchpoints to support an organized, efficient backend.
WHO YOU ARE
- You have experience managing many moving pieces at once and genuinely thrive when juggling multiple tasks, timelines, and priorities.
- Comfortable with Google Workspace, Asana, Basecamp, Dubsado, and learning new systems
- Strong digital organization skills
- Able to maintain accurate project data and documentation
- Meticulous attention to detail
- Ability to see both the big picture and the small steps needed to get there
- Flexible, adaptable, organized, and proactive
- Excellent communicator via email, text, phone, and in person
- Collaborative, service-oriented, and calm under pressure
Additional Requirements
- Local to Chatham, NJ
- Reliable transportation, laptop, and cell phone
- Able to join onsite projects when needed
- Comfortable with light physical tasks (stairs, lifting, dust)
- Thrives both working alone and with a team
- Prior operations/project management experience
- Loves learning and improving systems
HOURS & COMPENSATION
- 20–30 hours/week (growth potential)
- Mostly M–F, 9–5 with flexibility occasional evenings/weekends
- 60–75% in person / 25–40% remote
- Starting at $30/hr, depending on experience
