Job Description
SmartFile Tax Partners, a division of SmartFile Brands, is seeking a dependable, organized, and customer-focused Part-Time Client Services & Tax Office Assistant.
We provide tax preparation, bookkeeping, payroll, and business services to individuals and small businesses.
The ideal candidate is comfortable communicating with clients, managing multiple tasks, and maintaining accurate records in a professional office environment.
Key Responsibilities
- Answer incoming calls, text messages, and emails professionally.
- Schedule appointments and confirm client visits.
- Assist new clients with onboarding and document collection.
- Follow up with clients regarding missing tax documents.
- Track pending tax returns and incomplete projects.
- Send approved payment reminders and follow up on outstanding invoices.
- Maintain organized digital client records.
- Assist with basic data entry and administrative tasks.
- Provide daily updates on pending client matters.
- Identify opportunities to refer clients to additional company services when appropriate.
Qualifications
- Strong communication and customer service skills.
- Excellent organizational skills and attention to detail.
- Comfortable using computers, email, and office software.
- Ability to handle confidential financial information.
- Dependable and capable of working independently.
- Previous administrative, tax office, bookkeeping, or financial services experience preferred.
Tax preparation experience is not required. Training will be provided.
