Job Summary
We are looking for a dynamic, bilingual Front Desk Coordinator to join our small, growing dental team. You will be the first point of contact for patients, visitors, and vendors, creating a welcoming environment while keeping the front desk organized and running smoothly.
You will spend your day greeting patients, answering calls and messages, scheduling appointments, handling payments, and helping with insurance and basic treatment questions. Your bilingual skills in English and Spanish are essential to communicate clearly with our diverse patient base and to give them a smooth, stress-free experience.
The ideal candidate is energetic, detail-oriented, comfortable talking on the phone, and able to stay calm and professional when it gets busy.
Key Responsibilities
Patient & Front Desk Operations
- Greet patients and visitors warmly in English and Spanish, in person and on the phone
- Check patients in and out and ensure forms, signatures, and consents are completed
- Answer and route phone calls and text messages using a multi-line phone / office communication system
- Schedule, confirm, and reschedule appointments to keep an efficient daily schedule
- Communicate clearly with patients about arrival times, directions, and office policies
Scheduling, Records & Insurance
- Enter and update patient information accurately in the practice management software
- Verify dental insurance eligibility and basic benefits using online portals or by phone
- Help prepare and organize information for insurance claims and pre-authorizations
- Maintain accurate electronic records and follow privacy guidelines (HIPAA)
Financial & Administrative Support
- Collect and post payments, including copays, down payments, and balances
- Provide patients with basic explanations of treatment plans and payment arrangements (after doctor reviews)
- Assist with follow-up calls and messages for recalls, unpaid balances, and pending treatment
- Keep the front desk and waiting room clean and organized
Qualifications
Required
- Bilingual in English and Spanish, with strong speaking and basic reading/writing skills in both
- Prior customer service experience where you worked with people all day (front desk, retail, call center, restaurant, etc.)
- Comfortable on the phone, not afraid to talk, able to sound friendly and professional
- Solid computer skills, including email and basic data entry
- Strong attention to detail, organization, and follow-through
- Reliable transportation and consistent, on-time attendance
- Ability to stay polite, calm, and clear when the office gets busy
Preferred
- Experience in a dental or medical office front desk role
- Familiarity with dental or medical practice software
- Basic understanding of insurance (copays, deductibles, coverage vs non-covered services)
You do not need to know every dental term on day one. We will train you if you bring the right attitude, reliability, and willingness to learn.
