Accounting & Agency Operations Manager
Overview
We are seeking a highly skilled and detail-oriented Accounting & Agency Operations Manager to oversee our organization’s financial and agency operations. The Accounting & Operations Manager is responsible for ensuring accurate financial operations, timely commission processing, and smooth administrative support across the organization. This role oversees multi-line commission payroll, accounts payable/receivable, data reconciliation, and performance reporting while also supporting HR functions and internal office operations. The ideal candidate is analytical, proactive, and experienced in financial or operational roles within fast-paced environments.
Responsibilities
1. Commission & Incentive Payroll Management
- Calculate and process agent and agency commissions for multiple business lines (P&C, Health & Medicare, ACA, Referral, Override, etc.) accurately and on schedule.
- Prepare and distribute detailed commission statements to agents and agencies.
- Reconcile commission statements with carrier reports and resolve discrepancies promptly.
- Calculate and process internal employee incentives, reimbursements, and part-time payroll on schedule.
- Maintain structured commission data for audit and reporting purposes.
2. Accounts Payable and Receivable
- Download and organize financial statements (bank, business card, and commission statements).
- Monitor and follow up on receivable commissions to ensure timely payments.
- Process invoices and vendor/supplier payments approved by the CEO.
- Perform monthly bank reconciliations.
- Manage company business cards, including verification of proper usage and reconciliation of receipts and invoices.
3. Agency Management & Performance Analysis
- Perform Override Analysis to assess profitability and ensure equitable commission structures across downline agencies.
- Prepare monthly agency performance dashboards highlighting key metrics such as total sales, new agent productivity, and override trends.
- Collaborate with leadership levels and the CEO to establish performance improvement initiatives based on data insights.
- Financial Reporting: Prepare and analyze monthly and quarterly financial reports (P&L, Balance Sheet, Cash Flow) and provide commission and performance insights to support budgeting and forecasting.
- QuickBooks Management: Maintain and update the company’s financial records in QuickBooks, ensuring data accuracy and generating reports for management review.
- Data Accuracy and Integrity: Ensure accuracy, completeness, and reconciliation of all financial, commission, and carrier data, maintaining up-to-date agent structures and records.
4. HR/Administrative Responsibilities
- Manage onboarding documentation for new employees (personal info, tax forms, payroll setup, and policy acknowledgments).
- Communicate and implement company policy updates promptly.
- Track and ensure completion of mandatory training programs.
- Maintain accurate HR files and employee records in compliance with regulations.
- Manage company software subscriptions (e.g., Microsoft Office, email, CRM) and maintain office assets such as computers, printers, and furniture.
- Support vendor management, office supply procurement, and general office operations.
Qualifications
Required:
- Bachelor’s degree in Accounting, Finance, or Business Administration.
- Strong proficiency in QuickBooks, Excel, and general financial software tools.
- Solid understanding of commissions, overrides, and reconciliation processes.
- Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Excellent attention to detail, analytical thinking, and problem-solving skills.
- Strong verbal and written communication abilities.
- High level of integrity and ability to handle confidential information with discretion.
- Bilingual ability (Korean/English) is a plus.
Preferred:
- Minimum 3 years of accounting or administrative management experience, preferably in insurance, financial services, or similar industries.
- Experience working with insurance agencies, FMOs, or carrier commission systems.
- Knowledge of Medicare, ACA, P&C, and Life insurance commission structures.
- Familiarity with CRM systems, Google Workspace, and Microsoft 365.
- Prior experience in agency performance analytics or data reporting.
- Basic understanding of Python (for data analysis or automation purposes).
