Job Summary
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression and supporting overall office efficiency. This paid position offers an exciting opportunity to develop your administrative skills in a dynamic environment.

Duties

  • Greet visitors and clients warmly, ensuring a professional and friendly atmosphere at all times
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with promptness and professionalism
  • Maintain organized filing systems, data entry records, and ensure accurate document proofreading
  • Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools
  • Assist with clerical duties including typing, copying, scanning, and document preparation
  • Utilize computer skills across Microsoft Office Suite and Google Workspace to produce reports, spreadsheets, and presentations
  • Support customer service efforts by providing support via phone or in person, addressing questions or concerns efficiently
  • Perform general office duties such as filing, inventory management, and maintaining supplies to ensure a well-organized workspace

Qualifications

  • Proven experience in office management or administrative roles with strong clerical skills
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional phone etiquette skills with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Previous experience as a receptionist in medical or dental offices is a plus but not required
  • Demonstrated customer service skills with a friendly and professional demeanor
  • Ability to proofread documents accurately and maintain high attention to detail
  • Familiarity with bookkeeping software such as QuickBooks is advantageous
  • Personal assistant or calendar management experience is beneficial for supporting executive schedules
