Duties
- Greet visitors and clients warmly, ensuring a professional and friendly atmosphere at all times
- Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Handle incoming correspondence, emails, and inquiries with promptness and professionalism
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools
- Assist with clerical duties including typing, copying, scanning, and document preparation
- Utilize computer skills across Microsoft Office Suite and Google Workspace to produce reports, spreadsheets, and presentations
- Support customer service efforts by providing support via phone or in person, addressing questions or concerns efficiently
- Perform general office duties such as filing, inventory management, and maintaining supplies to ensure a well-organized workspace
Qualifications
- Proven experience in office management or administrative roles with strong clerical skills
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette skills with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Previous experience as a receptionist in medical or dental offices is a plus but not required
- Demonstrated customer service skills with a friendly and professional demeanor
- Ability to proofread documents accurately and maintain high attention to detail
- Familiarity with bookkeeping software such as QuickBooks is advantageous
