Job Summary
To oversee the financial and administrative operations of an educational institution. They will play a crucial role in managing budgets, ensuring financial compliance, and optimizing resource allocation. This position requires a keen eye for detail, strong financial acumen, and the ability to collaborate effectively with staff and stakeholders to support the school's mission and objectives.
Responsibilities:
To supervise and evaluate Accounts Payable, Payroll Bookkeeper, and Superintendent Assistant Bookkeeper.
Be responsible for overseeing the budget and finances of the district.
Process the district’s annual budget.
Meet with the Principals and Supervisors at least twice annually to review their budgets.
Month-end closing (By the 10th of the following month)
Code district receipts
Code elementary, middle, and high school activity receipts
Code activity checks
Create journal entries for the month
Clear canceled checks from eFinance
Balance and reconcile bank statements
Create reports for the board & send to the Superintendent
Print reports for Child Nutrition Report & email to the Food Service Director
Print activity reports and send to the campus Administrators or Supervisors
Stay updated on changes in education finance laws and regulations
Manage personnel records, contracts, and employment agreements
Process quarterly reports and withholding taxes
Process consumer use tax online (By the 20th of each month)
Code bills for Accounts Payable (daily)
Code requisitions (daily) and forward to the Administrative Assistant to process
Process high school activity checks
Report inquiries for the Superintendent as needed
Report inquiries to DESE as needed
Responsible for Cycle 1, 8, and 9 reporting:
Cycle 1 (Annually) by September 31 - Budget and Current Year Salaries
Cycle 8 (Annually) by July 31 - Prior year salaries & FTE
Cycle 9 (Annually) by August 31 - Fiscal year close
Prepare reports and paperwork for annual audit
Verify employment and wages as needed
Respond to employees as needed
Process FMLA, disability, and workers compensation paperwork
Process Fixed Assets (Inventory) updates and reports
Oversee Accounts Payable and Payroll Bookkeeper
Oversee Superintendent Administrative Assistant and Bookkeeper
Filing
To attend regular monthly school board meetings
Other duties as assigned
