General Manager Assistant (Chinese Speaking Required)

We are looking for a highly organized, detail-oriented, and dependable Assistant to the General Manager to support daily business operations and administrative activities. This position works closely with the General Manager to coordinate departments, track orders, communicate with customers and suppliers, prepare reports, and ensure smooth business operations.

The ideal candidate is proactive, professional, comfortable handling multiple tasks, and able to work in a fast-paced food distribution environment.

Key Responsibilities

• Provide administrative and operational support to the General Manager.
• Coordinate daily activities between sales, purchasing, warehouse, delivery, and accounting departments.
• Assist with customer orders, order confirmations, delivery schedules, and follow-up communications.
• Communicate with suppliers and vendors regarding product availability, purchase orders, pricing, and delivery schedules.
• Maintain accurate records of orders, inventory updates, customer information, and business documents.
• Prepare reports, spreadsheets, meeting notes, and other management documents.
• Follow up on outstanding customer orders, delayed deliveries, and operational issues.
• Assist with inventory monitoring, product returns, discrepancies, and stock adjustments.
• Support customer service by responding to inquiries and helping resolve order-related issues.
• Help track invoices, payments, purchase orders, and other documents in coordination with the accounting department.
• Monitor pending tasks and deadlines to ensure timely completion.
• Handle confidential business information professionally.
• Perform other administrative and operational duties as assigned by the General Manager.

Qualifications:

• Previous experience in administrative support, operations coordination, office management, or a similar role preferred.
• Strong organizational, multitasking, and time-management skills.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Excel, Word, Outlook, and general office software.
• Strong attention to detail and accuracy when handling orders and business records.
• Ability to communicate professionally with customers, suppliers, and employees.
• Comfortable working with inventory systems, order management software, or ERP systems.
• English proficiency required; Chinese or other Asian language skills are a plus.
• Experience in food distribution, wholesale, or logistics is preferred
