Executive Support
Strategic Time Management:
Actively manage and prioritize the President's time to align with high-level business objectives and operational demands. Anticipate scheduling conflicts and proactively adjust commitments to maximize productivity. Provide daily briefings and strategic overviews to ensure the President is focused on critical priorities, key decision points, and time-sensitive matters. Maintain a forward-looking view of upcoming deadlines, project milestones, and leadership obligations to keep the President ahead of schedule.
Communication Gatekeeping:
Serve as the central hub for all incoming and outgoing communication to the President. Screen, prioritize, and respond to emails, calls, and messages with professionalism and discretion. Ensure that only the most relevant and urgent matters reach the President directly, while tactfully managing less critical inquiries. Draft and edit correspondence, coordinate responses with internal departments, and maintain a consistent tone and messaging aligned with executive leadership.
Meeting Preparation & Follow-Up:
Own the end-to-end process of executive meeting management. Prepare comprehensive briefing materials, agendas, and background documents tailored to each meeting's objectives. Ensure the President is fully informed and equipped to lead or participate effectively. Attend meetings when needed to take detailed notes, track deliverables, and follow up with stakeholders to ensure timely execution of action items. Maintain a system for monitoring progress and accountability on all post-meeting commitments.
Calendar & Schedule Management:
Maintain a dynamic and highly detailed calendar, coordinating internal meetings, site visits, board sessions, and industry events. Balance competing priorities and ensure optimal use of the President's time. Provide reminders and prepare materials in advance to support seamless transitions between engagements.
Travel & Logistics Coordination:
Plan and manage all aspects of travel, including transportation, lodging, site access, and itinerary development. Ensure all travel aligns with project schedules, safety protocols, and executive availability. Prepare travel packets with relevant contacts, agendas, and contingency plans.
Document Management & Reporting:
Draft, edit, and format high-level documents including reports, presentations, and executive summaries. Maintain organized digital and physical filing systems for quick access to critical information. Ensure all documentation is accurate, professional, and aligned with company standards.
Confidential Support:
Handle sensitive information with the highest level of confidentiality and discretion. Act as a trusted liaison between the President and internal/external stakeholders, maintaining professionalism and integrity in all interactions.
Preferred Skills:
-Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), with the ability to create executive-level documents, reports, and presentations.
