SkyBreak Therapy is looking for an experienced Medical Scheduler / Patient Coordinator to join our growing pediatric therapy team!

We are searching for someone who has 3 years of experience scheduling in a medical office or healthcare setting and who brings both organization and heart to their work. This role is perfect for someone who enjoys being the friendly face (and voice!) that helps children and families access the therapy services they need.

Job Description

Join our vibrant Pediatric Therapy Clinic as a Part-Time Medical Scheduler, where your organizational skills and compassionate approach will help streamline our clinical operations and enhance patient experiences. In this dynamic role, you will coordinate appointments, manage medical records, and support the administrative team to ensure smooth clinic functioning. Your proactive communication and attention to detail will contribute to delivering exceptional care for our young patients and their families. Responsibilities

  • Supporting our admin team in scheduling patients in order to help kids meet their developmental goals
  • Schedule patient appointments efficiently using an EMR (Electronic Medical Records) system to ensure optimal clinic flow.
  • Verify insurance coverage, perform insurance eligibility checks, and facilitate insurance verification processes aligned with health insurance policies
  • Manage patient intake procedures, including collecting accurate medical histories and updating electronic health records (EHR).
  • Review medical documentation for completeness and accuracy, ensuring compliance with HIPAA regulations and clinical confidentiality policies.
  • Answer phone systems with professional phone etiquette, providing excellent customer service to patients and providers alike.
  • Maintain organized medical records, file documents accurately, and manage electronic health records (EHR) management with proficiency.
  • Support clinic staff with administrative tasks including data entry, filing, appointment reminders, and office management duties to ensure seamless clinic operations.

Qualifications

  • Prior experience in medical scheduling or healthcare administrative support within a pediatric or clinical environment preferred.
  • Strong knowledge of EMR/EHR systems.
  • Proficiency in medical terminology, CPT coding, ICD coding (ICD-10/ICD-9), and health insurance processes including insurance verification.
  • Excellent computer skills with Microsoft Office Suite and electronic health record management software.
  • Exceptional organizational skills with keen attention to detail for documentation review and data accuracy.
  • Bilingual abilities are desirable to serve diverse patient populations effectively.
  • Strong communication skills - both verbal and written - and the ability to handle phone systems confidently.
  • Previous experience working in a pediatric, dental or medical clinic environment is advantageous.
  • Knowledge of HIPAA regulations and clinical confidentiality policies to ensure patient privacy at all times.
