Job Summary
We are seeking a detail-oriented and proactive Legal Assistant to join our dynamic legal team. The ideal candidate will provide comprehensive support for a firm that includes estate planning, probates, trust administration and elder law. This role offers an excellent opportunity to develop legal expertise while providing support in call screening, calendar management, managing case files, drafting documents, and working with state and local agencies on the client’s behalf. The Legal Assistant will play a vital role in ensuring the smooth operation of our law office and maintaining high standards of client service.
Responsibilities
- Ensure highest level of client satisfaction by responding in a timely manner to all client calls, questions or inquiries.
- Perform initial triage for clients and potential clients wanting to make appointments.
- Schedule appointments and ensure attorney calendar is fully booked with valid and confirmed appointments.
- Support project management tasks related to ongoing cases or legal projects to ensure deadlines are met efficiently and effectively.
- Perform data entry and administrative tasks such as scanning documents, filing, drafting correspondence, and client relationship management.
- Handle client communication with professionalism via phone etiquette.
- Provide executive administrative support including proofreading documents and managing correspondence.
- Manage document review and ensure accurate filing within document management systems, including the physical filing of documents and electronic filing and storage of documents across case management platforms.
- Perform general bookkeeping.
- Always maintain client confidentiality.
Minimum Qualifications
Associate’s degree with at least 3-5 years related administrative, customer relationship and/or sales experience needed.
Desired Knowledge, skills, and Abilities
- Prior paralegal experience or legal administrative experience is highly preferred.
- Familiarity with a variety of practice areas such as estate planning, trust administration, elder law, and real estate law, including document review and case management systems, is desirable.
- Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment.
- Excellent written and verbal communication skills coupled with professional phone etiquette.
- Knowledge of document management systems such as Clio Manage, Clio Draft and Wealth Counsel’s drafting software, is a plus.
- Good working knowledge of Microsoft word, excel, power point, Adobe Acrobat, Outlook, and Clio are preferred.
- Good work ethic and reliability in following through with tasks from beginning to end.
- Takes initiative to solve problems when encountered in the daily flow of work.
- Ability to work cooperatively with diverse individuals both internally and externally to the Firm.
- Positive attitude and demeanor with ability to demonstrate tact, empathy and diplomacy.
- Sound judgment with ability to maintain confidentiality.

Pay: $22.00 - $26.00 per hour
