  • Reconcile organizational credit card transactions, prepare expense reports, and monitor spending alignment with budget, policy, and organizational values.

  • Review staff expense submissions for proper documentation, coding accuracy, and policy compliance before routing to the Senior Finance & Accounting Manager for approval.

Payroll & Benefits Support

  • Review the Foundation’s biweekly payroll after processing by the HR team, verifying accuracy of earnings and proper general ledger coding; reconcile payroll registers and flag discrepancies to the Senior Finance & Accounting Manager.

  • Record payroll journal entries in the general ledger and ensure payroll-related accounts are reconciled on a timely basis.

  • Support the Senior Finance & Accounting Manager in administering retirement plan contributions by gathering employee deferral data, preparing initial payment schedules, and ensuring timely submission to the plan provider.

Audit, Tax & Compliance

  • Prepare audit schedules, workpapers, and confirmations in advance of the annual external audit, including extensive testing of the investment portfolio and grant-related documentation, for the Accounting Manager’s review.

  • Liaise with external auditors during fieldwork as directed by the Senior Finance & Accounting Manager; respond to auditor inquiries and provide supporting documentation.

  • Prepare schedules, data, and supporting documentation for the Foundation’s tax filings (Form 990-PF, Form 990, Form 5500, property tax filings) as directed by the Senior Finance & Accounting Manager.

  • Prepare, distribute, and file annual 1099 forms.

Internal Controls & Process Improvement

  • Follow and maintain documented accounting policies and procedures; identify areas for improvement and recommend enhancements to the Senior Finance & Accounting Manager.
