Front Desk Associate

SKIN Kahala is a luxury medspa in the heart of Kahala. We work with doctors, nurses, and estheticians to provide medical aesthetic services (neurotoxin, filler, biostimulators, etc.), medical grade facials, IV therapy, BHRT, laser resurfacing, laser hair removal, RF microneedling and various other services. We are seeking a friendly and professional Office Services Specialist/Front Desk Associate / Office Assistant to join our growing team. The ideal candidate will be the first point of contact for guests by phone, via email, and in person, providing exceptional customer service while managing front desk operations. This role requires strong organizational skills, computer skills, social media skills, and the ability to multitask effectively in a fast-paced environment. In addition, candidate must have strong communication and interpersonal skills to build a genuine connection with guests, potential clients, providers and staff.

Duties

• Greet and welcome guests upon arrival, ensuring a positive first impression.
• Manage check-in and check-out processes efficiently while maintaining accurate guest records.
• Handle phone inquiries with excellent phone etiquette, providing information about services and products.
• Promptly follow up with warm leads via phone, text, and email
• Perform data entry tasks accurately, including updating guest information and processing appointments and payment.
• Maintain an organized front desk area, ensuring all files and forms are up to date and accessible.
• Assist with administrative tasks as needed, including scheduling appointments and managing office supplies.
• Address guest concerns or complaints promptly and professionally, escalating issues when necessary.
• Collaborate with staff and administration to ensure seamless service delivery for guests.
• Assist with social media content as needed

Experience

• Previous experience in a front desk or receptionist role is preferred but not required.
• Prior knowledge/experience in the aesthetic industry is highly desireable
• Strong organizational skills with the ability to manage multiple tasks simultaneously.
• Proficiency in office software and data entry systems is essential.
• Excellent time management skills to prioritize tasks effectively.
• Familiarity with social media interaction is advantageous.
