We are looking for a proactive and detail-oriented Office Assistant to keep our studio running seamlessly.
Position Overview
The Office Assistant plays a central role in the day-to-day operations of our studio. You will support the principal architect with administrative tasks, project coordination, and client communications — helping ensure our creative team can focus on what they do best: great design. This position is 10-15 hours/week, preferably morning hours. Compensation is $23-27/hr, DOE.
Key ResponsibilitiesStudio Operations
– Serve as the first point of contact for clients, contractors, and vendors.
– Maintain a clean, organized, & welcoming workspace.
– Order and track office supplies & project materials.
– Update website & create social media content.
– Manage calendars & meeting scheduling.
Project & Administrative Support
– Assist with preparation and organization of project files, drawings, & submissions.
– Assist with site visits, measuring, photo documentation.
– Coordinate permit applications and agency correspondence under architect supervision.
– Prepare and format documents, reports, presentations, and proposals.
– Track project deadlines and follow up on outstanding deliverables.
– Maintain and update client contact records and project databases.
Client & Vendor Relations
– Communicate professionally with clients, consultants, and contractors via phone, email, and in person.
– Prepare meeting agendas and take accurate meeting notes.
– Support invoicing and billing processes.
QualificationsRequired
– High school diploma or equivalent; Associate's or Bachelor's degree preferred.
– 2 years of experience in an administrative, office support, or receptionist role.
– Proficiency in Microsoft Office Suite or Apple equivalents, Google Workspace, Squarespace, & social media platforms.
– Excellent written and verbal communication skills.
– Strong organizational skills and attention to detail.
– Ability to manage multiple priorities in a fast-paced creative environment.
– Professional, personable demeanor with a customer-service mindset.
Preferred
– Experience in an architecture, design, engineering, or creative studio setting.
– Familiarity with project management tools.
– Basic understanding of architectural or construction processes.
– Project management experience.
– Experience with Adobe Acrobat or document management platforms.
– Experience with photo editing software.
– Drafting experience.
– Interest in architecture, design, or the built environment.
