About The Role
This position will be accountable for a variety of clerical duties that support the front office. They will also be required to follow all standard policies and procedures within their assigned department.
What You Will Do
- Back-up assistant to SVP, Global Distribution as needed.
- Answer calls for SVP, Global Distribution as needed.
- Provide administrative support to the Manager and Executives as needed.
- Back-up receptionist/front desk coverage while receptionist is on breaks, vacations/out of the office; answer calls, greet visitors, make sure visitors sign-in, provide guest pass.
- Order and maintain office supplies and supply rooms; order supplies as needed for the front office/DC departments, make sure all supply rooms are stocked, follow-up on orders.
- Order and maintain DC packaging and corrugated supplies as needed. This includes following-up with vendors and DC teams regarding inventory, pricing, discrepancies, changes, and estimated time of arrival.
- Meet with Vendors as needed regarding issues with orders, deliveries, and pricing.
- Issue POs for various orders/departments throughout the DC as needed.
- Communicate with department staff and DC teams, advising order delivery dates, storage, etc.
- Maintain orders and sales of pallets as directed, follow-up as needed.
- Generate and maintain pallet repair POs as directed.
- Maintain price lists for items per vendor as needed and request accounting updates in Peoplesoft as well.
- Maintain coffee and beverage supplies for front office/DC departments as needed; make service calls and follow-up as needed.
- Maintain copier supplies for front office/DC departments, make service calls, follow-up as needed.
- Issue receipts and maintain the Follow-Up sheet, confirm Proof of Delivery as needed.
- Submit new vendor set-up and check requests and follow-up as needed.
- Submit school district shoe donation requests and follow-up as needed.
- Submit shoe orders for executives/associates as needed, maintain shoe order log.
- Maintain vendor files.
- Assist with lobby/visitor flow and DC Tours.
- Assist with submitting expense reports for executives.
- Assist with meeting organization and catering requests
- Assist with retail tape, retail supply and corporate corrugated requests as needed.
- Assist with various administrative tasks and special projects as needed.
- High School Diploma or equivalent
- 1-2 Years’ experience in an office setting
