Responsibilities
- Greet visitors and clients promptly, professionally, and courteously
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendar bookings using office management software
- Handle data entry, filing, and document proofreading with high accuracy
- Maintain organized records and ensure confidentiality of sensitive information
- Assist with administrative tasks such as typing correspondence, managing emails, and supporting office operations
- Process payments or billing using QuickBooks or relevant accounting software if applicable
- Support customer service efforts by responding to inquiries via phone or email
- Coordinate with team members for office supplies, document preparation, and other clerical duties
- Ensure the reception area remains tidy and professional at all times
Requirements
- Proven experience in office management, clerical work, or as a receptionist; previous medical or dental receptionist experience is a plus
- Strong computer skills including proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional phone etiquette and customer service skills; bilingual abilities are preferred
- Familiarity with multi-line phone systems and calendar management software
- Attention to detail for proofreading documents and managing records accurately
- Ability to handle multiple responsibilities simultaneously while maintaining professionalism
- Personal assistant or administrative experience is advantageous
- Knowledge of bookkeeping or QuickBooks is beneficial but not required
- High school diploma or equivalent; additional certifications in office administration or related fields are desirable
