Job Summary
We are seeking a highly organized and professional Secretary to provide administrative support within our office environment. The ideal candidate will be responsible for managing front desk operations, handling correspondence, and ensuring smooth daily office functions. This role requires excellent communication skills, proficiency with office management tools, and the ability to multitask efficiently. Bilingual abilities and experience in medical or dental reception are a plus. The Secretary will play a vital role in maintaining a welcoming atmosphere and supporting the overall efficiency of our team.
Responsibilities
- Greet visitors and manage front desk operations with professionalism and courtesy
- Answer multi-line phone systems promptly, directing calls appropriately
- Manage calendar appointments and schedule meetings using Google Workspace and Microsoft Office tools
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Assist with bookkeeping tasks using QuickBooks and perform basic office management duties
- Provide excellent customer service support, addressing inquiries via phone, email, or in person
- Maintain office supplies inventory and coordinate procurement as needed
- Support administrative tasks such as typing correspondence, managing emails, and supporting personal assistant duties
- Ensure proper phone etiquette is maintained at all times
- Perform additional clerical duties including photocopying, faxing, and record keeping
Qualifications
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with QuickBooks or bookkeeping is preferred
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong communication skills; bilingual abilities are highly desirable
- Previous experience as a medical or dental receptionist is a plus
- Demonstrated customer service skills with professional phone etiquette
- Ability to handle multiple responsibilities simultaneously while maintaining attention to detail
- Office experience including filing, proofreading, and calendar management is required
- Personal assistant experience or familiarity with multi-line phone systems is
- advantageous
