Description

Supports the administration and daily operations of the School of Medicine’s student financial aid programs by coordinating financial aid processing, loan administration, student advising, regulatory compliance, reporting, and financial aid data management. Assists in ensuring the accurate delivery of financial aid services while maintaining compliance with federal, state, and institutional regulations.

Examples of Duties

Financial Aid 80%

  • Assist with activities related to student financial aid programs for the School of Medicine
  • Enter and update financial aid information, budgets, and award packages while ensuring accuracy and completeness
  • Review financial aid records and required documentation to assist with processing and awarding financial aid.
  • Assists with financial aid verification and reviews student documentation for completeness in accordance with established procedures.
  • Provide guidance to students, applicants, and families regarding financial aid eligibility, loan options, scholarships, application requirements, and borrowing considerations.
  • Assist students with loan applications and required financial aid documentation.
  • Register students in the Banner system for financial aid and billing purposes and maintains accurate student information.
  • Respond to inquiries from current students, prospective students, and alumni regarding financial aid records and eligibility.
  • Assists with financial literacy and debt management activities for medical students.
  • Assists with institutional loan programs and provides administrative support for loan processing in accordance with established procedures.
  • Work closely with Director to conduct financial literacy and debt management sessions for medical students.
  • Assists students with identifying available private loan and other funding options and provides information regarding application requirements.
  • Provide administrative support for scholarship programs and related initiatives.
  • Assists with routine financial aid reporting and prepares correspondences, reports, charts, and other materials as required.
  • Participates in professional development opportunities and financial aid workshops through organizations such as AAMC, NASFAA, ILASFAA, and MASFAA to maintain knowledge of applicable financial aid policies, procedures, and practices.
  • Provide administrative and scheduling support to the Director of Financial Aid including maintaining calendars and assisting with departmental communications.

Financial Aid Data and Records 20%

  • Maintain accurate student financial aid records in the institutional financial aid system.
  • Enters, updates, and verifies routine financial aid data related to student eligibility, awards, loans and disbursements.
  • Assist with routine processing of financial aid information received from federal and other external systems.
  • Reviews financial aid records for completeness and accuracy and brings discrepancies or unusual circumstances to the attention of the Director.
  • Assists with routine reporting.
  • Maintains financial aid files and documentation in accordance institutional policies and confidentiality requirements
  • Assists with routine record reconciliation and correction of financial aid information as directed.
  • Sensitive to the needs of underrepresented minority populations.
  • Performs other duties as assigned.

Qualifications

CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER

  • Any one or combination totaling two (2) years (24 months) from the categories below:
  • College coursework in any discipline, as measured by the following conversion table or its proportional equivalent:
  • 30 semester hours equals one (1) year (12 months)
  • Associate’s Degree (60 semester hours) equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
  • Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)
  • Work experience performing office, business, or customer/relations activities.

Knowledge, Skills & Abilities (KSA’s)

  • Knowledge of all federal, state, institutional, and private financial aid regulations as they apply to packaging and disbursement of financial aid, disbursement of refunds, and Satisfactory Academic Progress (SAP).
  • Knowledge of the student application process.
  • Knowledge of Microsoft Office – Outlook, Excel, and Word and other computer programs.
  • Skill in mathematics and calculations.
  • Skill in customer service, and oral and written communication.
  • Skill in time management, organizing work assignments, and responding quickly and effectively to challenges.
  • Ability to interpret and apply internal and government policies, procedures, and regulations.
  • Ability to work in an environment that can be fast-paced and stressful.

Condition of Employment
