Full Job DescriptionAre you a detail-oriented professional who loves keeping things organized and solving problems? We are seeking a temporary Order Management & Customer Service Coordinator to join our team for a 5–6 month contract.This hands-on role is vital to keeping our customer orders, purchasing, inventory, and internal communication moving smoothly. You will work closely with customers, suppliers, and our sales team while utilizing our Enterprise Resource Planning (ERP) system to manage orders and provide visibility throughout the process.For the right candidate, this position has the potential to transition into a permanent role based on performance and business needs. If you enjoy making sure the details are right and communicating with people, we want to hear from you!What You’ll Do (Responsibilities)
- ERP & Order Processing: Use our ERP system as the primary tool to accurately enter, process, and track customer purchase orders. Monitor order status, resolve system discrepancies, and ensure fulfillment moves efficiently.
- Customer & Supplier Communication: Confirm orders with customers, answer inquiries, and maintain clear, timely updates. Communicate directly with suppliers regarding component availability, lead times, production schedules, and ship dates.
- Inventory & Purchasing: Monitor inventory levels against customer demand. Identify purchasing needs, place supplier orders, and proactively track/flag potential supply delays.
- Customer Portals & EDI: Navigate various customer networks, online portals, and Electronic Data Interchange (EDI) systems to capture new orders, monitor updates, and ensure customer-specific documentation requirements are met.
- Sales Team Support: Provide the sales team with ongoing insights into customer demand, inventory availability, ordering trends, and potential fulfillment issues.
- Shipping & Invoicing: Coordinate final order fulfillment. Prepare shipping paperwork, labels, and required documentation, and accurately process customer invoices.
What We’re Looking For (Qualifications)
- Attention to Detail: High accuracy in data entry and a knack for spotting missing info, pricing discrepancies, or quantity errors.
- Communication Skills: Strong written and verbal communication skills for collaborating with customers, suppliers, and internal team members.
- Tech-Savvy: Strong computer skills with the ability to learn new software quickly. Experience with an ERP system, EDI, or customer portals is a strong plus.
- Organizational Skills: Proven ability to manage multiple priorities and follow tasks through to completion in a fast-paced environment.
- Industry Exposure: Prior experience in order management, purchasing, inventory, or a manufacturing environment is a plus.
