We are seeking a friendly, organized, and detail-oriented Receptionist/Administrative Assistant to join our team. This role is often the first point of contact for our clients, so professionalism and excellent communication skills are essential. The ideal candidate will provide administrative support to ensure smooth daily operations while maintaining a welcoming office environment.
Key Responsibilities:
- Answer and direct incoming phone calls in a professional and courteous manner
- Greet and assist clients and visitors upon arrival
- Manage incoming and outgoing emails, including monitoring the general accounting inbox
- Prepare, send, and follow up on invoices via email
- Scan, file, and organize documents as needed
- Assist with scheduling meetings, lunches, and appointments
- Support the team with general administrative tasks and special projects as assigned
Qualifications:
- High school diploma or GED required
- Previous administrative or receptionist experience preferred, but not required
- Strong verbal and written communication skills
- Proficient with Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software
- Excellent organizational skills and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Professional, friendly, and customer-service oriented demeanor
