The Special Projects Manager is responsible for planning and executing all aspects of special events, including VCS Gala, Whole in One Golf Tournament, New Parent Social, and Sequoia Society gatherings. The Special Projects manager coordinates event lifecycle, from initial planning and budgeting to execution and post-event evaluation to support the SSMO mission and their sponsored ministries. The SPM also supports the annual donor stewardship efforts of the SSMO Foundation.

Responsibilities:
  • Develop event scopes, objectives and deliverables; creating detailed event plans; and manage the execution of events from start to finish.
  • Develop and manage event budgets, ensure cost-effectiveness, identify potential donation opportunities, schedules, timelines; monitor progress and make adjustments as needed.
  • Coordinate venue, catering, AV equipment, staffing and volunteers, and other logistical aspects of an event.
  • Oversee event volunteers and ensure the smooth execution of the event.
  • Manage guest interactions, create and ensure a positive guest experience.
  • Identify opportunities to improve processes and workflows.
  • Lead and manage the volunteer committee/s provide guidance and support through effective communications.
  • Coordinate event marketing in collaboration with the Communication team, including content for Spirit magazine, SSMO Foundation website, social media and e-newsletter, and calendars.
  • Serve as liaison to school parent organizations (VALOR and HS Booster Club) including monthly meetings and coordinate Foundation support as needed.
  • Manage event sponsorship strategy.
  • Coordinate and review accurate donor lists for the Annual Report.
  • Coordinate and distribute stewardship communications including holiday greetings, birthdays, and gift-adversary mailings.
  • Manage stewardship projects and coordinate gift acknowledgement templates and letters.

Required Skills/Abilities:
  • Experience in planning, executing, and managing events of varying sizes and complexities.
  • Analytical and problem-solving skills
  • Excellent written and verbal communication skills.
  • Ability to motivate and lead committees, provide guidance, and delegate tasks effectively.
  • Ability to organize and prioritize tasks efficiently and effectively.
  • Ability to work collaboratively in a mission-driven and faith-based environment.

Education and Experience:
  • Bachelor’s degree or equivalent experience in nonprofit management, communications or related field.
  • 5 yrs experience in event coordination, fundraising, or project management.

Preferred Skills:
  • Proficient in Google Workspace (Docs, Sheets, Slides, Drive) for efficient team collaboration and document management.
  • Experience with MailChimp for designing, scheduling, and analyzing email campaigns.
  • Familiarity with Asana for project tracking, task management, and cross-team coordination.
  • Hands-on experience with CRM systems, specifically Raiser’s Edge, to support donor data management and segmentation.
  • Comfortable using event management software such as Greater Giving to support planning, logistics, and post-event analysis.

Physical Requirements:
  • Prolonged periods of standing or sitting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds occasionally.
  • Regularly required to use hands and fingers to handle, feel or operate objects, tools or controls and reach with hands and arms; frequently required to stand,walk, talk, sit, and listen; occasionally required to climb, balance, stoop, kneel, crouch, reach above shoulder height, reach below the waist, or lift as needed to file documents or store materials throughout the work day.
  • Proper lifting techniques are required.
