Position Summary
The Office of Association is seeking a highly organized and detail-oriented Part-Time Administrative Assistant to support the daily operations of our multilingual, intercultural department. This role requires fluency in both Spanish and English (spoken and written) and plays a key part in supporting Mercy Associates across the Institute of the Sisters of Mercy of the Americas.
The ideal candidate is team-oriented, culturally sensitive, and capable of managing a variety of administrative tasks in a dynamic environment.
Key Responsibilities
- Provide administrative support to the Executive Director and Association team.
- Translate documents and communications between English and Spanish.
- Draft and edit bilingual materials including emails, newsletters, presentations, and event content.
- Coordinate scheduling, logistics, and support for virtual and in-person meetings and events.
- Prepare meeting materials, set up rooms, and ensure technology readiness.
- Maintain organized records, calendars, databases, and digital files.
- Support communication and engagement efforts with Associates, especially Spanish-speaking communities.
- Perform general office duties such as copying, printing, filing, and ordering supplies.
- Provide occasional support for Zoom and hybrid meeting coordination.
- Other duties as assigned.
Qualifications
Required:
- Fluency in Spanish and English (verbal and written).
- Bachelor’s degree with 1–2 years of administrative experience or equivalent education/experience.
- Strong knowledge of office procedures and best practices.
- Excellent attention to detail in composing, proofreading, and formatting documents.
- Strong organizational skills and ability to prioritize tasks.
- Proficiency in Microsoft Office Suite, email marketing tools, and digital meeting platforms (Zoom, Teams).
- Ability to build effective working relationships with colleagues and external contacts across cultures.
- Comfort working in diverse, multilingual settings.
- Alignment with the mission and values of the Sisters of Mercy.
Preferred:
- Experience in professional offices or religious organizations.
- Understanding of the culture and traditions of the Sisters of Mercy.
- Familiarity with Catholic Church structures and teachings.
