Overview
The Business Office Assistant at Siskiyou Springs supports the daily administrative and financial operations of the community. This position ensures accurate resident billing, organized record keeping, and smooth front office workflow while upholding the standards of excellence and compassion that define Siskiyou Springs. The Business Office Assistant works closely with the Executive Director, Business Office Manager, department leaders, residents, families and outside partners.
Duties
- Greet residents, families, visitors, and vendors with warm welcoming service.
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle scheduling and calendar management for appointments, ensuring efficient time management
- Assist with filing, proofreading documents, and organizing office supplies to support daily workflows
- Provide customer support through effective phone etiquette and personalized assistance
- Support bookkeeping activities, including invoicing and basic financial record keeping
- Coordinate office management tasks such as document preparation, mail handling, and maintaining office cleanliness
- Support personal assistant duties as needed, including managing correspondence and supporting special projects
- Assist with preparation of community correspondance, notices, newsletters, and administrative documents.
- Maintain organized and compliant filing systems, including resident charts, employee files, vendor documentation, and required RCFE forms.
- Coordinated and document monthly staff meetings with training.
- Support the Executive Director and Business Office manager with special projects and scheduling needs.
Requirements
- Proven experience in office management, clerical work, or administrative support roles
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, QuickBooks, and data entry skills
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent communication skills both verbal and written
- High level of computer literacy and familiarity with office equipment and software tools
- Strong attention to detail for proofreading, filing, and maintaining accurate records
- Ability to manage time effectively and prioritize tasks independently
- Previous experience in personal assistant or medical receptionist roles is preferred

Pay: $21.00 - $25.00 per hour
