Position Summary

Vertice Hospitality Management is seeking an Executive Assistant to support the Founders with day-to-day execution, coordination, and administrative management across SingleThread Farms and related operations.

This role is highly execution-focused and requires strong organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment. The position is responsible for ensuring the Founders’ time, communication, and workflows are structured, efficient, and aligned with operational needs.

Key Responsibilities

Calendar & Scheduling Management

  • Proactively manage and maintain complex, high-volume calendars across multiple time zones
  • Schedule internal and external meetings, ensuring alignment with operational priorities
  • Resolve scheduling conflicts and adjust priorities in real time
  • Allocate and protect time for key business activities and deadlines

Inbox & Communication Management

  • Act as the primary filter for all incoming requests
  • Manage high-stakes correspondence with global partners, culinary icons, and investors, drafting communications that reflect the refined, intentional, and warm tone of the SingleThread brand
  • Prioritize communications and ensure timely responses

Travel & Logistics

  • Arrange domestic and international travel, including flights, accommodations, and ground transportation
  • Build detailed itineraries with schedules, contacts, and confirmations
  • Manage changes and troubleshoot travel issues as they arise

Meeting Coordination & Follow-Through

  • Schedule and coordinate meetings, including logistics, materials, and attendees
  • Set strategic agendas for Vertice leadership, producing comprehensive materials, and tracking action items to ensure visionary ideas are translated into operational reality
  • Take notes, track action items, and follow up to ensure completion
  • Maintain organized records of meetings and decisions

Project & Task Management

  • Support execution of special projects as assigned by the Founders
  • Conduct basic research and compile findings into clear summaries
  • Track project timelines, deliverables, and next steps
  • Assist in coordinating external vendors or partners when needed
  • All other tasks as assigned by Founders

Stakeholder & Administrative Support

  • Constantly audit the Executive Office for friction: implement systems and automated workflows that reclaim the Founders’ time and allow them to focus on innovation
  • Serve as a central conduit for information between the Founders and all levels of the organization—Restaurant, Inn, Farm, and Corporate—proactively gathering, synthesizing, and delivering insights to eliminate bottlenecks and ensure a clear, consistent flow of information to support executive decision-making.
  • Maintain organized files, documents, and contact lists

Confidentiality & Data Handling

  • Manage sensitive business, financial, and HR information with the highest level of discretion and professionalism
  • Exercise sound judgment when handling, storing or transmitting sensitive information internally and externally, and shared securely and only with authorized individuals
  • Maintain accurate, well-organized, and up-to-date records across relevant systems and files
  • Follow best practices for data protection, privacy, and information security at all times

Public Engagement Support

  • Manage and coordinate logistics for speaking engagements, culinary awards, media requests, and appearances
  • Ensure the Founders’ personal brands and the reputation of Vertice (and all brands) remain synonymous with global hospitality leadership
  • Track deadlines and requirements for external commitments

Requirements

REQUIRED SKILLS AND ABILITIES

  • 5 years supporting senior executives or founders
  • Experience managing complex calendars, travel, and high-volume communications
  • Hospitality or multi-unit operations experience preferred
  • Strong ability to prioritize and manage multiple workstreams
  • Clear, professional written and verbal communication
  • High attention to detail and accuracy
  • Proactive, anticipates needs, and works independently
  • Strong follow-through with minimal oversight
  • Adaptable to shifting priorities and deadlines
  • Able to handle both routine admin and project-based work
  • Discreet, reliable, and trustworthy with sensitive information
  • Accountable, responsive, and consistent
  • Strong judgment and direct communication style
  • Proficient in Google Workspace (Calendar, Gmail, Docs, Sheets, Slides)
  • Comfortable with Slack, Zoom, and basic presentations/reports
  • Flexible schedule with availability for urgent requests
  • Occasional travel required

Environmental And/Or Physical Requirements

  • Ability to perform the essential job functions consistently, safely and successfully with federal, state, and local standards
  • Must be able to lift and carry up to 40 pounds
  • Frequent sitting at a desk and using a computer
  • Ability to stand and/or sit for prolonged periods of time
  • Ability to physically maneuver through work areas; bend, lift, carry, reach/extend arms, and hands above shoulder height, climb stairs and steps, or otherwise move in a constantly changing environment
