Position Summary

The Community Manager is the onsite authority for resident relationships, legal and financial liability, staff leadership, and community compliance. This role owns judgment calls — lease approvals, resident escalations, incident response, budget execution, and staff supervision — while delegating scheduled, repeatable, and clerical work to the Administrative Assistant. The Community Manager is the community's primary point of contact for residents, staff, and Regional/corporate leadership, and is expected to exercise sound judgment on matters involving risk, money, and people. Success in this role requires strong leadership, financial and legal discernment, and the ability to use technology — including AI-assisted tools — to work efficiently.


Key Responsibilities

Lease & Closing Authority

•    Own new buyer, Meadows, and renewal closings end-to-end: review documents, prepare the Lease Agreement & Packet, conduct signing and rules review.

•    Review returned application and background-check documents with Regional/GM and make approval decisions.

•    Prepare Termination of Lease documentation and authorize seller refund amounts to accounting.

•    Approve lease increases (within regional guardrails).

•    Send delinquency notifications and lease-violation notices.

•    Own accounts receivable oversight, weekly deposits, e-check presentation, and accounting adjustments.

•    Coordinate funds with the Sales team and accounting on closings

Resident Management & Compliance

•    Serve as the primary resident point of contact for requests, concerns, and escalations (excluding warranty issues).

•    Approve or deny Architectural Review Committee (ARC) forms; communicate with the Director of Construction and Regional on compliance matters.



•    Make long-term tenant, guest, and stay-of-absence determinations, including when a Residency Application is triggered.

•    Monitor resident compliance; own incident reports and ensure proper documentation and storage.

•    Oversee rental-home compliance with Community Rental Restrictions.

•    Conduct soft-touch resident visits during illness, loss, or other sensitive circumstances.]

Onsite Leadership

•    Supervise the Community Technician/Maintenance Team: write work orders, delegate tasks, and follow up on completion.

•    Supervise the Administrative Assistant.

•    Facilitate monthly staff meetings and Envoy/Social Envoy meetings.

•    Own emergency chain-of-command and preparedness execution for the community.

•    Serve as community liaison with Henderson County leadership and other external stakeholders.

•    Sign off on property inventories prepared by the Administrative Assistant.

•    Provide input on performance reviews for the maintenance team; partner with Regional/HR on broader personnel matters.

Activity & Budget Management

•    Establish and maintain relationships with activity vendors.

•    Own the community events plan (3–4 events/month) and the monthly/quarterly event budget.

•    Direct event setup and breakdown, with hands-on support from the Administrative Assistant.

•    Own the quarterly newsletter and biannual community meeting content and facilitation (Administrative Assistant supports production/logistics).

Financial & Strategic Coordination

•    Execute to the budget and financial goals set by Regional; flag variances proactively.

•    Support AP approval and monthly reconciliation/AME prep with local review, in partnership with Regional.

•    Partner with Regional and Envoy leadership on capital-planning ('wish list') projects and track them to completion.

•    Own the 100% occupancy goal for the Meadows, including touring prospects, with support from the Sales team.

•    Support onsite inspections related to property insurance, vendor compliance, and risk management led by Regional.


 Technology & AI Proficiency

This role requires a Community Manager who is comfortable operating core property-management systems and who uses technology, including AI tools, to work more efficiently and make better-informed decisions.

•    Working knowledge of Zoho and Buildium for lease administration, records, reporting, and resident communication (or ability to learn quickly).

•    Proficiency with Microsoft Office and/or Google Workspace for reports, budgets, and correspondence.

•    Comfortable using AI assistant tools (e.g., Microsoft Copilot, Google Gemini, ChatGPT, Claude) to draft resident communications, review documents, summarize reports, and prepare meeting materials for final review.

•    Able to use AI tools to speed up routine analysis — such as reviewing delinquency trends, drafting incident-report summaries, or preparing talking points for staff and resident meetings — while retaining final judgment and accountability for outcomes.

•    Comfortable adopting new software and digital workflows as systems evolve.
