What are the responsibilities and job description for the Adoption & Volunteer Coordinator position at Simba's Sanctuary?
Adoption & Volunteer Coordinator
Simba’s Sanctuary is looking for an outgoing, organized, and dependable Adoption & Volunteer Coordinator to join our team. This is a hands-on position for someone who genuinely loves working with both animals and people and can confidently manage the fast-paced, unpredictable nature of rescue work.
Our sanctuary cares for more than 60 cats at a time, all with different personalities, backgrounds, medical needs, and temperaments. We are looking for someone who can get to know our cats individually while creating a welcoming and organized experience for adopters and volunteers.
Adoption Coordination
You will manage the adoption process from application through adoption. Responsibilities include reviewing adoption applications, communicating with potential adopters, scheduling and conducting meet and greets, learning what each family is looking for, and helping match them with a cat who is a good fit for their home and lifestyle.
A big part of this role is connecting with people. You should feel comfortable leading conversations, asking questions, explaining our adoption policies, setting realistic expectations, and helping adopters feel confident in their decision.
Volunteer Management
You will help build and lead a dependable team of volunteers who can assist with daily sanctuary operations. This includes communicating with volunteers, coordinating coverage, providing direction during shifts, answering questions, and making sure everyone knows where their help is most needed.
We are looking for someone who is comfortable taking charge and creating a positive environment where volunteers feel welcomed, supported, and productive.
Communication & Sanctuary Operations
This person will also oversee much of the day-to-day communication for the sanctuary, including answering phone calls and emails, responding to adoption inquiries, scheduling appointments, and keeping track of ongoing conversations.
During some shifts, you will be the only staff member in the building, so you must be confident working independently while keeping track of more than 60 cats, managing volunteers, assisting visitors, answering calls and emails, and maintaining the sanctuary.
Rescue work is unpredictable. Priorities can change quickly, and there will be times when you need to put down what you are doing and jump in to help with a cat, volunteer, adopter, or unexpected situation.
We’re Looking for Someone Who:
- Has previous experience handling and working with animals; rescue or shelter experience is strongly preferred
- Is comfortable working with cats with a wide range of personalities and temperaments, including shy, fearful, undersocialized, and more challenging cats
- Is outgoing, personable, and genuinely enjoys connecting with people
- Can confidently conduct adoption meet and greets and guide potential adopters
- Is extremely organized and able to keep track of many cats, appointments, applications, volunteers, and conversations at once
- Is comfortable leading and managing volunteers
- Communicates professionally and warmly by phone, email, and in person
- Can work independently and make good decisions without constant supervision
- Thrives in a busy, fast-paced environment
- Is flexible and understands that rescue work does not always go according to plan
- Is willing to jump in wherever needed to help the sanctuary and its cats
- Is dependable, proactive, and takes initiative rather than waiting to be told what needs to be done
Most importantly, we are looking for someone who understands that this is not a traditional desk position. You may be answering an adoption email one minute, helping a volunteer the next, conducting a meet and greet, cleaning up after a cat, answering the phone, or handling an unexpected rescue situation. We need someone who can confidently juggle all of those responsibilities while keeping the sanctuary organized and providing a positive experience for both our cats and our community.
