GENERAL PURPOSE
This would be an on site role at Beachwood , Ohio Events Intern will provide support to the event sales manager and theater management team. Learn a variety of skills including customer service, event planning, preparing banquet event orders (BEO), meeting with guests on site and assisting with overall administration of event management. In addition, the intern will assist and be exposed to event operations through shadowing and performing basic functions of event set up , break down and service delivery.
JOB DUTIES
EVENT PLANNING: 50%
- Respond to phone and email inquiries within 24 hrs regarding circuit-wide social and corporate events and private screenings in a timely manner.
- Answer questions, offer menu assistance, explain guidelines and terms/conditions or refer to Event Manager as needed.
- Prepare Banquet Event Orders (BEO) and send out contracts once reviewed and approved by Event Sales Manager.
- May meet with clients on site to provide tours and answer questions regarding events or private screening(s).
SUPERVISORY TRAINING AND SHADOWING: 20%
- Shadow and rotate in event staff role to learn the basic steps to event service.
- Shadow and assist Naples cinema General Manager (or MOD) in set up, break down and execution of local events.
- Respond to guests’ needs during course of event.
- Follow up with event host post event for feedback.
EVENT MARKETING 20%:
- Create opportunities and foster relationships within the local community in order to generate additional event revenue and awareness of Silverspot Cinema as a unique, fun and safe event venue.
- Email outreach to key contacts at area businesses /organizations.
GUEST SERVICES /GUEST RELATIONS: 10%
- Shadow the Guest Relations to understand frequent guest questions relating to private screening and overall general operations as well as to assist with confirmation guest details prior to event.
- Assist in check in/welcome of private screening or event guests in a professional, warm and friendly manner.
- Escort guests to event space and provide overall positive impression of space, set up and flawless execution.
REQUIREMENTS SKILLS/KNOWLEDGE NEEDED
Current College student in hospitality/restaurant/event or related field
Hospitality/restaurant, customer service or guest relations experience a plus
Must have demonstrated working knowledge of Microsoft outlook, word, power point, Teams and Microsoft suite
Event software experience preferred (Triple seat, Gather, Cvent, etc)
Friendly, outgoing personality.
Professional but warm demeanor.
Pleasant phone manners, ability to speak clearly.
Excellent oral and written communication.
Problem solving and critical thinking skills.
Ability to work independently as well as work as part of a team.
PHYSICAL REQUIREMENT/WORK ENVIRONMENT
The work will primarily be sedentary in a well-ventilated area but there will be periods of time that he/she will be standing for long periods of time, walking and carrying a service tray or moving tables.
