Job Summary: The Clinic Operations Supervisor collaborates with the Clinical Manager and Practice Administrator to oversee and coordinate clinic level services to contribute to the efficient functioning of the practice. This position is responsible for the quality control of patient care and optimized patient flow, clinic staff management, implementation and maintenance of regulatory compliance and licensures required in a clinic setting. Responsible for clinic resource management of the assigned clinic site.
Supervisor Responsibilities/Tasks:
- Select, train, coach, direct and provide first line performance management for all clinic staff team members.
- Prepare and maintain the clinic schedule, daily monitoring the staff and Physician schedules for any changes.
- Responsible for the performance, productivity and reviews of clinic staff.
- Monitors timekeeping and assists with payroll for accuracy, punches, and assists senior management to balance PTO requests.
- Ensures implementation and accurate documentation by staff for all policies and procedures.
- Responsible for vaccine program management at site level.
- Assists with the supply management for assigned clinics to maintain an efficient stock level as well as fiscally responsible in overall expenditures for supplies.
- Accountability for processes, practices and medical equipment. Produces reports and analysis as necessary. Conducts in-service training.
- Responsible for Risk Management and Compliance activities, including Compliance Manual.
- Ensures equipment is maintained and licensures are kept current. Inspects equipment area to ensure it is clean and safe and that the equipment is utilized appropriately at all times.
- Recommends maintenance, repairs and improvements of equipment, instruments and facilities.
- Facilitates the productive work flow in each of the clinics.
- Monitors and ensures quality controls are completed timely for clinics as required on a weekly, monthly, and quarterly basis; refrigeration, CLIA, etc.
- Adheres to all confidentiality regulations both Patient (HIPAA) and company policy.
Qualifications
Leadership Responsibilities/Tasks:
- Works effectively and collaboratively with SPMG Leadership Team.
- Maintains cooperative working relationships and supports all departments when necessary.
- Attends and participates in monthly observations and leadership meetings.
- Participates in and facilitates team huddles and meetings.
- Conducts fact-finding investigations of patient and employee complaints and /or grievances and reports to senior management for further instruction and action.
- Positive and effective change agent in all aspects of the supervisory role.
- Strong knowledge of medical terminology
- Demonstrated computer skills for documenting patient care in an electronic medical record
- Ability to communicate effectively in person, on the telephone, and in writing
- Ability to work independently and as a team member
- Ability to read and comprehend patient medical charts, medical terminology, prescription medications, and physician messages
Education:
- High School Diploma (Required)
- Medical Assistant Certification or Equivalent Education (Required)
Experience:
- Minimum five years’ experience in an ambulatory medical practice
- Required
- 2-3 years healthcare supervisory experience
- Preferred
- Medical Front Desk proficiency
- Medical Assistant experience (2-3 years)
