Duties
- Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Handle calendar management and scheduling for multiple departments or executives, ensuring efficient time management
- Perform data entry, filing, and document proofreading to maintain accurate records and support administrative workflows
- Utilize software such as Microsoft Office, Google Workspace, QuickBooks, and other computer literacy tools to prepare reports, correspondence, and presentations
- Assist with office management tasks like supply ordering, inventory tracking, and maintaining organized filing systems
- Provide customer support by responding promptly to inquiries via phone or email, offering friendly assistance and solutions
- Support bookkeeping activities including basic bookkeeping tasks using QuickBooks or similar software
Skills
- Proven experience in office administration or clerical roles with strong organizational skills
- Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry platforms
- Ability to operate multi-line phone systems efficiently while maintaining professionalism
- Bilingual abilities are highly desirable to assist diverse client needs effectively
- Strong time management skills to prioritize tasks in a fast-paced environment
- Exceptional proofreading and attention to detail for document accuracy
- Experience as a dental or medical receptionist or personal assistant is a plus but not required
