The Role
We are looking for a friendly, organized, and proactive professional to manage our front office and provide essential administrative support to our leadership team. You will be responsible for coordinating communications, managing office logistics, and assisting with various departmental projects to ensure our bakery functions at its best.
Detailed Duties & Responsibilities
Front Desk & Reception
- First Impressions: Greet visitors, vendors, and candidates with a professional and welcoming demeanor that reflects our mission.
- Communication: Manage the multi-line phone system, directing calls to the appropriate departments, and taking detailed messages as needed.
- Access Control: Monitor visitor logs and ensure all guests adhere to facility safety and security protocols.
Administrative Support
- Documentation: Assist with the preparation, filing, and organization of production paperwork, HR documents, and safety logs.
- Scheduling: Coordinate meetings, manage office calendars, and assist with travel arrangements for management.
- Data Entry: Maintain accurate records in company systems, ensuring high attention to detail and precision.
- Supplies: Monitor and order office and breakroom supplies to ensure a steady workflow for all staff.
Operational Coordination
- Reporting: Identify and report any facility or office equipment issues to the Maintenance team or appropriate vendor.
- Collaboration: Work closely with the Lead Hands and Supervisors to assist with employee communications or shift transition materials.
- Project Support: Perform other administrative duties as assigned to support the continued success of the bakery.
Who You Are
Skills & Experience
- Experience: 2 years in an administrative or receptionist role, preferably in a manufacturing or fast-paced environment.
- Technical Proficiency: Strong computer skills, including mastery of MS Office Suite (Word, Excel, Outlook).
- Communication: Excellent verbal and written interpersonal skills.
