Position Summary: The Operations Administrator is a key leader responsible for supporting and optimizing daily operations within the home care agency. This role ensures that systems run efficiently, teams are supported and motivated, and service delivery meets the highest standards. The ideal candidate will bring strategic thinking, strong leadership, and an ability to improve processes while maintaining excellent relationships with clients, caregivers, and referral sources.
Key Responsibilities:
- Operational Leadership & Team Management
- Lead, manage, and motivate office and field staff to ensure high performance and engagement.
- Serve as the primary point of contact for escalated client or caregiver issues, resolving concerns quickly and professionally.
- Participate in the recruitment, onboarding, and ongoing training of care providers. Ensure staffing levels meet client needs and adjust resources as needed.
- Maintain a culture of accountability, teamwork, and client-centered care. Administrative & Scheduling Support
- Oversee daily administrative functions including maintaining accurate records, compliance documents, and internal communications.
- Scheduling team by ensuring timely and appropriate caregiver-client matches.
- Use AxisCare software to manage schedules, client records, visit logs, and performance data.
- Coordinate the execution and tracking of digital documents using Docusign. Process Improvement & Strategic Planning
- Analyze workflows and recommend improvements to streamline operations and reduce inefficiencies.
- Develop and implement standard operating procedures (SOPs) to enhance consistency and productivity.
- Assist in strategic planning and implementation of growth initiatives in collaboration with leadership. Client & Referral Source Relationship Management
- Build and maintain strong relationships with clients, families, and referral sources such as hospitals, senior living communities, and case managers.
- Conduct service quality checks and client follow-ups to ensure satisfaction and retention.
- Represent the agency professionally at networking events and outreach opportunities.Data Tracking & KPI Management
- Track, report, and analyze key performance indicators (KPIs), including caregiver retention, client satisfaction, hours of service, and referral conversion.
- Monitor trends and generate operational reports for leadership. Preferred Tools & Software: AxisCare, Microsoft Word, Excel, Google Workspace (Docs, Sheets, Calendar, Drive), Canva, Adobe, DocuSign, Email, Zoom/Google Meet
Qualifications: Education & Experience
- LPN or RN License
- Associate’s or Bachelor’s degree in Healthcare Administration, Business, or related field preferred.
- Minimum 2–3 years of experience in home care, healthcare administration, or operations required.
- Proven experience leading teams and managing operations in a fast-paced service environment. Skills & Competencies

- Standard business hours with flexibility for occasional after-hours needs.
- Will require occasional evening or weekend availability to resolve scheduling or operational issues,
