Job Summary
As the first point of contact at the community for our customers through telephone or in-person interactions, this position provides exemplary customer service in a friendly and professional manner. This position is responsible for graciously greeting community visitors, addressing the questions or concerns of prospective or current residents and families, and providing support to sales and marketing and the business office. Pays attention to detail and uses creativity to create positive experiences with current and prospective residents by managing the lobby experience for all visitors.
Essential Functions
- Proactively assists residents, families, visitors, and employees with questions or problems, resulting in a positive experience; greets all visitors and answers incoming calls in a professional and respectful manner.
- Monitors entry areas for visitors and guests, greets and directs as necessary, answers incoming telephone calls and resident calls, forwards and takes messages, receives and sends packages for residents, and assists residents who request assistance with mailing letters and packages. Manages the lobby; monitors and ensures the desk and lobby are clean and neat; creates a comfortable, inviting area; assists the Resident Experience Director and/or others in promoting activities with residents in the lobby.
- Assists the Director of Sales and Marketing by managing the inquiry process, connecting the caller or visiting customer to the appropriate inquiry team member, and responding to inquiries and/or tours when community Sales and Marketing Director, Executive Director, and Associate Executive Director is not available; facilitate experiences/tours of the community as needed; knowledgeable and assist in supporting the marketing standards of the community; assist with assembling marketing packets as required.
- Assists the Associate Executive Director in processing new resident documentation; assists in maintenance of resident files and documentation while maintaining confidentiality.
- Strongly promotes and encourages residents to participate in all activities.
- Follow and communicate company policies and procedures.
- Maintains the proper certifications required by local and state licensing agencies, which include ongoing in-service training, accreditations, specific coursework, and certifications. Complete required training promptly to comply with community policy and state regulations.
- Other duties may be assigned as necessary.
- Demonstrates regular attendance and consistent punctuality.
Education and Experience
High School Diploma or equivalent required. Previous experience answering telephones and/or in a customer service position.
Certifications, Licenses, and other Special Requirements
Must pass a criminal background check. Must meet all health requirements, including TB. Must have compassion for and desire to work with the elderly.
Essential Skills
Able to communicate effectively with residents, families, staff, vendors, and the general public. Resourceful and strong problem-solver. Strong organizational and follow-up skills and the ability to manage multiple priorities. Word processing, spreadsheets, and email skills.
