Position Summary

Silk Road Multilingual LLC is seeking a professional, organized, and customer-focused Bilingual Receptionist who is fluent in both English and Spanish.

Fluency in English and Spanish is required for this position.

The Receptionist serves as the first point of contact for clients, interpreters, translators, contractors, couriers, and business partners. This position requires frequent communication with both English- and Spanish-speaking clients by phone, text, email, and in person.

Key Responsibilities

  • Welcome and assist English- and Spanish-speaking clients in a professional and friendly manner.
  • Answer incoming calls and communicate with clients in both English and Spanish.
  • Respond to text messages, emails, and general client inquiries.
  • Determine what service a client needs and collect the necessary initial information.
  • Schedule, confirm, reschedule, and cancel appointments.
  • Explain SRM's general services, procedures, required documents, pricing information, and estimated processing times according to company guidelines.
  • Assist with inquiries regarding translation, interpretation, notary, apostille, authentication, legalization, Power of Attorney, vital records, remote document requests, and other SRM services.
  • Receive client documents and verify that required basic information has been provided.
  • Scan, print, copy, organize, upload, and prepare documents.
  • Maintain accurate client information and update internal records.
  • Follow up with clients regarding missing documents, appointments, payments, and service status.
  • Notify clients when documents are ready for pickup or shipment.
  • Accept and properly record client payments according to company procedures.
  • Prepare outgoing mail, documents, and packages for domestic and international shipping.
  • Create shipping labels and ensure recipient names, addresses, phone numbers, and other shipping information are accurate.
  • Package documents securely and appropriately for mailing and courier delivery.
  • Coordinate shipments and document deliveries with USPS, FedEx, UPS, DHL, and other courier services as needed.
  • Receive and organize incoming mail and packages and distribute them to the appropriate person or case.
  • Track outgoing and incoming shipments and maintain accurate tracking information.
  • Monitor delivery status and follow up on delayed, returned, or undelivered packages when necessary.
  • Provide clients with tracking information and shipping updates.
  • Maintain records of shipping charges, receipts, labels, and tracking numbers.
  • Coordinate with translators, interpreters, notaries, couriers, and other contractors.
  • Monitor incoming communications and route inquiries to the appropriate staff member.
  • Maintain a clean, organized, and professional reception area.
  • Protect confidential client and company information.
  • Perform additional administrative and office-support duties as assigned.

Required Qualifications

  • Fluent in English and Spanish – REQUIRED.
  • Must be able to speak, read, and write professionally in both English and Spanish.
  • Strong verbal and written communication skills.
  • Professional telephone and customer-service etiquette.
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and prioritize responsibilities in a busy office.
  • Basic computer proficiency, including email, Microsoft Office, Google Workspace, internet applications, scanning, printing, and PDF documents.
  • Ability to accurately prepare mailing and shipping information.
  • Ability and willingness to learn SRM services, procedures, pricing, and internal workflows.
  • Dependable, punctual, responsible, and professional.
  • Comfortable assisting clients from different countries and cultural backgrounds.

Experience

Previous experience in reception, customer service, administrative support, shipping/mail handling, document services, translation/interpretation agencies, immigration-related offices, notary offices, or similar professional environments is preferred.

Important Role Boundaries

The Receptionist provides administrative and customer-service assistance only. The Receptionist must not provide legal or immigration advice or guarantee the outcome of any government, consular, immigration, apostille, authentication, or other process.

Questions outside the Receptionist's responsibilities must be referred to the appropriate SRM team member or qualified professional.

Professional Expectations

The ideal candidate must demonstrate excellent customer service, professionalism, confidentiality, attention to detail, reliability, punctuality, patience, teamwork, accountability, and the ability to follow established procedures.

Because this position represents SRM during clients' first interactions with the company, professional communication and excellent customer service in both English and Spanish are essential.
