Role Description This is a full-time, on-site Office Assistant role with administrative and graphics-related responsibilities, based in Newburgh, IN. The Office Assistant will handle general office tasks such as answering phones, greeting visitors, managing incoming and outgoing mail, and maintaining organized digital and physical files. The role includes supporting scheduling, preparing basic documents and reports, and assisting with order entry and job tracking for signage projects. The team member will also assist with graphics-related tasks such as updating job information, organizing artwork files, coordinating with the production team, and supporting basic proofing or layout activities as directed. This role works closely with management, production, and sales staff to ensure smooth daily operations and timely communication with customers and vendors.
Qualifications
- Strong Administrative Assistance and Clerical Skills, including filing, data entry, document preparation, and scheduling.
- Professional Phone Etiquette and Communication skills, with the ability to interact clearly and respectfully with customers, vendors, and team members.
- Experience or comfort with Executive Administrative Assistance tasks such as supporting leadership with calendars, basic reporting, and follow-ups.
- Basic computer proficiency (e.g., Microsoft Office or Google Workspace) and ability to learn signage/graphics or production software; familiarity with graphic design tools is a plus.
- High attention to detail, strong organizational skills, and the ability to manage multiple tasks in a fast-paced, production-oriented environment.
