As we continue to scale, we are seeking a Practice Manager & Director of Operations to help lead our team and build the infrastructure for our next phase of growth.
The Opportunity
This is a leadership role focused on managing the team and running day-to-day operations, while also building toward a broader operational leadership position.
You will work directly with the CEO to:
- Lead and manage staff
- Oversee daily operations and workflow
- Improve accountability and team performance
- Build systems and processes to support continued growth
This role is designed to evolve into a full Director of Operations position as the firm scales.
Key Responsibilities
Team Leadership & Management (Primary Focus)
- Lead and manage operations and service team members
- Run weekly team and workflow meetings
- Establish clear roles, expectations, and accountability
- Manage performance, address issues, and develop team members
Workflow & Operations Oversight
- Ensure all client service, onboarding, and operational tasks are completed efficiently
- Monitor and manage:
- New business processing
- Client service requests
- Follow-ups and outstanding items
- Reduce bottlenecks and improve turnaround times
Client Experience
- Standardize meeting preparation and follow-up processes
- Ensure a consistent, high-quality client experience across the firm
- Improve responsiveness and communication standards
Process Improvement & SOP Development
- Document and begin building standard operating procedures (SOPs)
- Identify inefficiencies and implement improvements
- Create structure where processes are currently informal
Technology & Systems
- Work within and help optimize firm systems:
- CRM (Wealthbox)
- Custodial platforms (NFS / Investor360)
- Planning and portfolio tools
- Support increased automation and integration over time
Reporting & Accountability
- Track key metrics:
- Workflow completion
- Service timelines
- Team performance
- Provide visibility into operational performance and gaps
What Success Looks Like (First 6–12 Months)
- CEO is no longer managing day-to-day staff
- Team accountability and communication significantly improve
- Fewer operational errors and missed follow-ups
- Clear structure around workflows and responsibilities
- Foundation built for scalable operations
Ideal Candidate
Experience
- 5–10 years in a wealth management, RIA, or financial services firm
- Experience managing teams and overseeing operations
- Background in improving workflows and team performance

Compensation
- Base Salary: $90,000 – $120,000
