Role Description
The Administrative Operations Assistant supports the Administrative Director and front office leadership team by managing purchasing, tracking vendor and supply orders, and ensuring the facility remains stocked and organized. This role is detail-oriented and operationally focused, with an emphasis on inventory management, organization, and day-to-day administrative support.
Key Responsibilities:
- Manage purchasing of office and facility supplies, including placing and tracking vendor orders
- Receive, verify, and organize incoming deliveries
- Maintain accurate records of orders, invoices, and inventory levels
- Restock facility paper goods and other essential supplies as needed
- Coordinate with vendors to resolve order discrepancies or issues
- Assist front office directors with administrative and operational tasks
- Maintain organized storage areas and supply systems
- Support general office efficiency through proactive problem-solving and task management
Work Schedule:
- Flexible daily schedule
- Weekly hours ranging from 20–30 hours
- Potential for full-time hours in the future
Qualifications
- Strong computer skills, including proficiency in Microsoft Office or similar systems
- Excellent organizational skills with a high level of attention to detail
- Ability to manage multiple tasks and priorities efficiently
- Strong communication skills and ability to work collaboratively with multiple departments
- Self-motivated with a willingness to be flexible and adapt to changing needs
- Prior administrative or office support experience preferred
