Secret Shopper is a customer experience measurement firm with 30 years in the industry. We partner with well-known brands to evaluate real customer experiences in both digital and brick-and-mortar environments. We're hiring a Scheduling Coordinator to recruit and assign independent contractors ("secret shoppers") to mystery shopping assignments—accurately, on time, and to client requirements.
This is a fast-paced, deadline-driven role for someone who enjoys communicating with people, staying organized, and hitting measurable goals.
Responsibilities
- Recruit and fill open assignments via email, text, calls, and platform messaging
- Match shoppers to assignments based on requirements (timing, location, experience, reporting needs)
- Set clear expectations, confirm understanding, and reduce cancellations/no-shows
- Track assignment status and document details accurately in internal systems/spreadsheets
- Resolve last-minute gaps by quickly finding replacements
- Coordinate with internal teams to troubleshoot issues and meet client needs
What success looks like
- Assignments filled by deadline with minimal last-minute gaps
- Low cancellation/no-show rates through proactive follow-up
- Accurate, up-to-date notes that reduce errors and rework
- Consistent daily progress on open shops
Preferred qualifications
- 1 year in customer service, scheduling, staffing, operations coordination, or similar
- Strong computer skills (email, spreadsheets, data entry) and ability to learn new systems
- High attention to detail and follow-through
- Experience coordinating contractors/dispatch/appointment scheduling (plus)
- Bilingual (plus)
- Bachelor's degree (plus)
Schedule
- Monday–Friday, typical hours 8:00 AM–4:30 PM
- One weekend per month: respond to shopper emails (one weekday off the week before or after to maintain a 40-hour week)
