What you’ll do
Accounting (Primary)
- Full-cycle bookkeeping in QuickBooks Desktop: A/R, A/P, GL, journal entries, monthly close.
- Job costing: coding, WIP checks, cost tracking, and weekly A/R/A/P aging snapshots.
- Biweekly payroll in house (QuickBooks Time for timekeeping); verify deductions and PTO.
- Monthly reconciliations (bank/CC/loans) and year-end package for outside CPA.
- Compliance filings (sales/use tax), vendor setup, W-9s/1099s, lien releases/AIA billing (nice to have).
HR Administration
- New-hire onboarding/offboarding: offer packets, I-9/W-4 collection, checklists, file maintenance.
- Maintain employee handbook, PTO tracking, training/compliance checklists.
- Benefits coordination with providers (enrollments, changes, terminations) and open enrollment prep.
- Help managers with simple HR paperwork and keep confidential records organized.
Insurance & Risk
- Policy renewals (GL, auto, property, workers’ comp, umbrella): gather data, review quotes, coordinate with broker.
- Maintain COIs for clients and subs; track expirations and add insured endorsements as required.
- Assist with workers’ comp audits/claims documentation and safety paperwork; log incident reports.
- Keep standard compliance documents tidy and retrievable for audits.
Requirements
- 4 years full-charge bookkeeping; manufacturing/construction or job-costing experience preferred.
- Strong QuickBooks Desktop Excel (filters, pivots, lookups).
- Experience handling basic HR admin (files, onboarding, benefits coordination) and insurance tasks (renewals, COIs, WC audits).
- High integrity, discretion with confidential info, clear communication; able to prioritize independently.
Job Type: Part-time
Pay: $24.00 - $45.00 per hour
Expected hours: 16 – 24 per week
