Overview
Estate planning and probate legal office is seeking a professional, organized, and detail-oriented Legal Office Assistant. As the first point of contact for clients, you will play a vital role in ensuring a smooth and welcoming experience. This position balances client-facing communication with behind the scenes administrative support, requiring a high level of accuracy and reliability. This position could grow into a Legal Assistant role, and additional hours and responsibilities, with time and experience. Although most days are busy, there may occasionally be some down time if there is a day when phone traffic is light. If the successful candidate is a college or vocational student, they may complete schoolwork during downtime.
Responsibilities
Client Interaction & Reception
- First Impressions: Answer phone calls and greet clients in person with a professional and friendly demeanor. Clients often call during a distressing situation. The successful candidate needs to be a great listener and relay understanding and empathy over the phone.
- Scheduling: Schedule consultations, legal signings, and follow-up appointments.
- Intake Management: Gather and enter initial client information into our client management software with a high degree of accuracy.
- Legal Formalities: Act as a formal witness for the signing of legal documents, such as Wills and Health Directives.
Administrative Support
- Digital Organization: Scan and copy physical documents, ensuring they are accurately labeled and saved within our electronic filing system.
- Mail: Scan incoming mail. Prepare and send outgoing mail.
- File Maintenance: Keep digital folders organized and easily accessible for the attorney and paralegal.
- Office Logistics: Monitor inventory of office supplies and proactively place orders to ensure supplies remain fully stocked.
- General Support: Assist with light errands, occasionally courier documents to the Court Clerk in Kent (mileage reimbursed), and maintain a tidy, professional office environment. Light cleaning (dusting, sweeping) of office areas.
Qualifications & Skills
- Professionalism: Excellent verbal and written communication skills; ability to handle sensitive information with absolute confidentiality.
- Organization: Strong attention to detail with the ability to manage multiple tasks and prioritize effectively.
- Technical Proficiency: Comfortable using scanners, printers, phone systems, and standard office software (Word, Excel, and Outlook).
- Experience: Prior experience in a professional office or customer service environment is preferred, but not required.
