Job Overview
We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing daily administrative tasks, coordinating schedules, overseeing vendor relationships, and supporting team members across various ministries. The ideal candidate will bring a proactive attitude, exceptional communication skills, and a passion for creating an efficient workplace. By handling a broad range of responsibilities—from office management and written and verbal communication to human resources support—you will play a key role in fostering a productive and welcoming atmosphere for all staff and visitors. (The position is 4 days: Monday-Thursday)

Responsibilities

1. The office administrator is the face of the church, providing front-line hospitality to offer the best in Christian care to everyone. This person is key to help carry out our Church’s Mission, embracing and embodying our vision of “inspiring people to Learn, Live, and Love like Jesus!”

2. Assist and support pastors, staff, church leaders, volunteers, and the congregation.

3. Help the public by guiding them to the right staff or information.

4. Collaborate closely with Friday office staff.

5. Recruit, train, and develop a team of volunteers to serve in the office.

6. Check all messages on phone and email to see if any emergencies need to be covered by pastors or added to 'Pray Now.'

7. Receive and screen phone calls, redirect them when appropriate.

8. Handle and prioritize all incoming and outgoing correspondence (emails, letters, packages, etc.).

9. Mail merges for special mailings and bulk mailings for congregation communication.

10. Attend weekly staff meetings, worship meetings, and other meetings requested by the Lead Pastor.

11. Prepare and print Sunday bulletins, inserts, announcements, and calendars. This also includes funeral programs as needed.

12. Prepare receipts, maintain petty cash, and office charge card procedures.

13. Assist in managing all orders for Flowers on the altar, i.e., Easter and Christmas orders.

14. Monitor office supplies

15. Troubleshoot challenges as they occur.

16. Ability to manage the Church's website and social media communication.

17. Maintain electronic and paper records, ensuring information is organized and easily accessible.

18. Maintain the membership database software and ensure the system is used correctly. Includes handling membership transfers. Prepare certificates for baptisms, confirmations, and memberships, and save them to the church database.

19. Prepare the office budget.

20. Create and maintain policy and procedure manuals. Review current operating practices and procedures to identify potential improvements in areas such as workflow, reporting procedures, or expenditures.

21. Attend council meetings, take notes, and prepare minutes.

22. Collect and store all meeting minutes, including those from Church Council, Tar Hollow, Trustees, Foundation, Finance, Church Conference, and other meetings related to financial matters. Also, manage church documents and reports to ensure they stay secure. (Stored and backed up by third-party computer support)

23. Provide computer software support when problems arise or new staff are hired. Assist in training employees on administrative and operational policies and procedures.

24. Work with outside vendors.

25. When needed, troubleshooting office equipment, such as computers, copiers, and folding machines.

26. Handle other tasks as assigned by the Lead Pastor to support the church, improve office productivity, and glorify the Kingdom of God.

Qualifications and Aptitudes

1. High School diploma or GED.

2. Experience as Office Manager or similar administrative role is pr5efered.

3. Proficient in MS Office and (Realm) or similar data base software.

4. In-depth knowledge of office management and basic accounting procedures as well as technical vocabulary.

5. Excellent organizational and time-management skills.

6. Outstanding communication

7. Familiarity with cloud systems and calendar software.

8. Familiarity with One Call Now or ability to learn the One Call system.

9. Ability to learn Facility Scheduler

10. Professional and friendly disposition.

11. Demonstrates integrity and maintains confidentiality.

12. Help carry out our Church’s Mission, embracing and embodying our vision of “inspiring people to Learn, Live, and Love like Jesus!”

Job Type: Part-time

Pay: $15.00 - $18.00 per hour

Expected hours: 30 – 32 per week
