Job Title: Office Manager
Department: Administration
Reports To: Accounting Manager/General Manager
FLSA Status: Non-exempt; eligible for overtime
Position Summary: Maintains office services by organizing office operations and procedures, preparing timesheets, controlling correspondence with customers, designing filing systems, reviewing/approving supply requisitions and monitoring clerical functions. Facilitates the efficient operation of all departments by performing a variety of clerical and administrative tasks.
Examples of Duties/Responsibilities:
1. Answering telephone calls and emails from customers and clients and directing them to relevant staff
2. Entering orders, quotes and invoices into software
3. Prepare bank deposit and post cash receipts
4. Process payable invoices in software
5. Generate receivables invoices and credit memos
6. Maintain customer and vendor account information
7. Accounts receivable collection calls
8. Process various month end reports
9. Reconciling credit card statements, collecting receipts
10. Order products from vendors (inventory and office)
11. Light HR responsibilities
12. Other duties as assigned
Minimum Job Requirements:
Education: High School diploma or equivalent
Experience: Experience in an office position a plus, knowledge of QuickBooks software
Specific Skills: Strong written and verbal communication skills, organization and the ability to multitask to complete a wide variety of tasks

Supervisory Responsibility: None
Physical Requirements and Working Conditions: Physical effort equal to frequent lifting or moving of materials of up to 50 pounds. Regularly required to sit or stand, bend and reach. Work is performed in a shop environment. Exposed to any number of elements but with none present the extent of being disagreeable. Work requires stooping, crouching, pulling, lifting, fingering, grasping, feeling and repetitive motions; May work at different workstations as production needs require, or shifts from one station to another during the assembly process.
