We are looking for a welcoming, organized Office Assistant who enjoys supporting people and creating an environment where people feel connected and inspired. This position will work up to 30 hours per week at Sibcy Cline's Ross Township office. At Sibcy Cline, the Office Assistant is a key support role within the branch office, helping to ensure smooth day-to-day operations. This role supports a variety of administrative and office management tasks, including customer service, communications, document handling, and coordination of office resources. The ideal candidate is detail-oriented and proactive, with strong communication skills and a professional demeanor.
Essential Functions
- Greet and assist visitors in person and by phone in a warm and professional manner.
- Answer, screen, and direct incoming phone calls and online inquiries.
- Perform general office duties such as sorting and distributing mail, maintaining office supplies and equipment, and delivering documents as needed.
- Assist with administrative tasks related to real estate transactions including check deposits, with oversight from Manager and BOA Team Lead.
- Support the ordering, organization, and distribution of marketing materials.
- Post branch and agent success updates to office social media accounts under Manager direction.
- Serve as a liaison between the branch office and corporate teams to help ensure efficient communication and workflow.
- Complete projects assigned by the BOA Team Lead in a timely and thorough manner.
- Offer process improvement suggestions and take initiative on small projects as appropriate.
- Prior experience in an administrative, office support, or customer service role.
- Strong written and verbal communication skills.
- Demonstrate discretion with confidential information.
- Proficiency in Microsoft Office applications and the ability to learn new software systems.
- Familiarity with data entry and basic budget/transaction tracking is a plus.
- Ability to be adaptable, proactive, and maintain a positive attitude.
- High school diploma required.
