Position Summary

The Legal Secretary provides litigation and administrative support to attorneys across SMW's land use and environmental practice, enabling attorneys to deliver the highest-quality representation to clients advancing environmental and community values.


Key Responsibilities

• Calendar deadlines, schedule hearings, and coordinate attorney logistics across multiple matters.

• Draft, proofread, and finalize correspondence and legal documents.

• E-file and serve documents in state and federal courts in compliance with all applicable court rules.

• Generate Tables of Authorities and Tables of Contents; format documents using Word-generated styles.

• Maintain attorney timekeeping records and assist with billing administration.

• Monitor agency agendas and dockets as directed.

• Assist with firm administrative initiatives, including MCLE compliance, RFP/RFQ support, and related projects.


Required Qualifications

• 0-3 years of legal secretary experience in a litigation setting.

• Strong knowledge of California and federal court rules and e-filing procedures.

• Advanced proficiency in Microsoft Suite, including TOA/TOC generation and document styles; proficiency in Microsoft Outlook and pdfDocs.

• Excellent writing, grammar, and proofreading skills with meticulous attention to detail.

• Ability to manage competing priorities across multiple matters with strong organizational skills.

• Ability to work both independently and collaboratively in a team environment.


Preferred Qualifications

• Experience in land use, environmental, public interest, or nonprofit law.

• Experience with Claude, Harvey, or similar AI platforms.

• Experience with California appellate practice and/or CEQA matters.


Working Conditions

Work is performed primarily in an office environment with hybrid flexibility. The role requires sustained periods of computer work, including document drafting and review. Occasional extended hours may be required to meet filing deadlines or support active litigation. Salary Range: $58,500-$120,000 annually
