Orthodontic Treatment Coordinator & Team Lead

We are seeking an experienced Orthodontic Treatment Coordinator and Team Leader to join our growing orthodontic team. This position offers the opportunity to develop into a leadership role while working closely with providers to support patient care, treatment acceptance, financial coordination, insurance management, and department growth.

This position combines treatment coordination, financial coordination, patient advocacy, and orthodontic program support. The ideal candidate is comfortable building relationships with patients and families, discussing treatment and financial arrangements, coordinating care, and helping drive the success of the orthodontic department.

What You'll Do

Treatment Coordination

• Guide patients and families through the orthodontic treatment process
• Coordinate and confirm new patient consultations
• Present treatment recommendations and financial options
• Discuss contracts, payment plans, and treatment investments
• Follow up with pending treatment cases
• Manage observation patients and treatment-ready recalls
• Support treatment acceptance and case conversion goals

Financial Coordination

• Verify orthodontic insurance benefits
• Submit and follow up on insurance claims
• Manage patient payment plans and financial arrangements
• Monitor outstanding balances and assist with collections
• Process refunds, credits, and account adjustments
• Serve as the primary liaison between patients, insurance companies, and the practice

Patient Experience & Care Coordination

• Build strong relationships with patients and families
• Coordinate care with referring dentists and specialists
• Maintain accurate patient records and communication
• Ensure a positive and seamless patient experience from consultation through treatment completion

Orthodontic Leadership & Operations

• Assist with orthodontic workflow and department organization
• Support referral relationship development
• Participate in growth initiatives and process improvement
• Monitor reports, performance metrics, and patient tracking systems
• Help develop and improve systems within a growing orthodontic program

Clinical Support (as needed)

• Assist with orthodontic clinic operations
• Support patient flow and treatment delivery
• Coordinate records, photos, and documentation
• Assist with retainers, appliances, and other orthodontic workflows

What We're Looking For

• Orthodontic, dental, or healthcare experience preferred
• Treatment Coordinator experience strongly preferred
• Financial coordination and insurance experience preferred
• Strong communication and relationship-building skills
• Comfortable discussing financial arrangements with patients
• Highly organized with excellent follow-through
• Self-motivated and able to work independently
• Positive attitude with a team-oriented mindset
• Desire to grow into a leadership role
