Job Summary
As a Billing Specialist, you will play a key role on our collaborative Service Administration Team, which includes Field and Shop Service Advisors, Billing Specialists, Quotes Coordinators, Warranty Coordinators, and Maintenance Contract Coordinators. You’ll be responsible for ensuring accurate, timely billing for Special Billing and Portal Billing accounts while supporting a seamless customer experience. Essential Functions
- Accurately enter work order and invoice details into third-party billing portals on schedule.
- Review all work order information prior to invoicing to ensure compliance with customer and third-party requirements.
- Maintain up to date knowledge of billing requirements, workflows, and expectations for assigned accounts.
- Request, receive, and process work orders requiring customer purchase orders prior to invoicing.
- Invoice Toyota 360Plus Planned Maintenance work through the TMH Portal.
- Reconcile payments from TMH Fleet accounts and resolve any discrepancies promptly.
- Communicate any billing updates, account changes, or customer requests to internal teams.
- Work directly with third party portal providers to resolve invoice issues or disputes.
- Provide customers and internal stakeholders with invoice copies, work order records, and fleet data as needed.
- Assist in resolving customer issues, principally through phone conversations and email with the customer.
- Proficient in Microsoft Office products with emphasis on Excel
