Job OverviewWe are seeking a dynamic and detail-oriented Property Services Coordinator to join our team! In this vital role, you will serve as the central point of contact for property services operations, ensuring seamless coordination between tenants, vendors, and internal teams. Your energetic approach will drive efficient property upkeep, maintenance, tenant relations and administrative processes while maintaining compliance with Fair Housing regulations, U. S. Department of Housing and Urban Development (HUD), and other local legal standards. This position offers an exciting opportunity to contribute to a thriving affordable housing property management environment where customer service and conflict resolution are at the forefront of daily activities.ResponsibilitiesCompleting incident reports and keeping management team abreast of all major activity.Assist with bi-annual unit inspections, weekly property inspections, and providing minor repairs.Escorting contractors throughout property and providing feedback to management.Working with the maintenance team in processing work orders.Oversee legal administrative processes related to landlord-tenant law, Section 8 housing programs, and Fair Housing regulations to ensure compliance.Handle data entry, filing, and recordkeeping related to property management operations with precision and confidentiality.Provide exceptional customer service by addressing tenant inquiries via phone or in person, resolving conflicts professionally, and providing support in a team environment.Maintain strong relationships with tenants, vendors, and internal teams through effective communication.Assist in contract negotiations and review legal documents related to property leasing, maintenance agreements, and vendor contracts.ExperienceProven experience in property management, leasing or real estate administrative roles with a strong understanding of landlord-tenant law, HUD compliance, and Fair Housing regulations.Intermediate to advanced proficiency of MS Excel, Word, and Outlook.Minimum of four years administrative assistance experience preferred.Ability to work on a variety of tasks from multiple sources simultaneously in a fast paced environment.Familiarity with property management software.Demonstrated ability to manage conflict effectively while maintaining professionalism in high-pressure situations.Strong organizational skills with experience in data entry, filing systems, and office administration.Excellent customer service skills combined with exceptional phone etiquette and strong written communication skills.Background in REAC/NSPIRE inspection regulations and maintenance coordination is a plus.Ability to work independently and pro-actively.Associates Degree in Business, Hospitality, or Real Estate or higher education preferred.Join us as a Property Services Coordinator where your proactive energy will help create a welcoming environment for tenants while ensuring operational excellence!
